Job Description
The Administrative Associate provides proactive, high-quality, flexible, and reliable administrative support to the Head of Global Clinical Supply (GCS) Planning and Head of GCS Operational Excellence. This role assists with administrative functions relating to organization and communication across the team and ensures the efficient operation of team members. We are seeking candidates who are proactive, thrive in complexity, demonstrate resilience, and model the highest caliber of values and standards.
The primary activities include but are not limited to the following:
General administrative/clerical duties
Execute meeting arrangements to include internal and external venues, on site meeting set up and audio-visual coordination, travel (including domestic and international travel support), lodging, meals, etc
Work requires the coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments
Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity, and problem-solving skills
Develop reports, presentations, tables, graphs, and correspondence using appropriate software.
Works in teams or independently as needed and as relevant to complete work assignments and various tasks
Communication Skills must be at a level to effectively interact with company executives and internal/external clients to maintain workflow
Ability to handle and prioritize many simultaneous assignments
Extraordinary attention to detail, monthly expense reports, monthly org charts. Scheduling and logistics for department candidates as well as D&I initiatives. Tracking of several department metrics.
Education:
Required:
High School Diploma
Preferred:
Advanced education or certifications such as (e.g., Certified Administrative Professional)
Required Experience:
Minimum of (4-8) years Administrative Assistant experience.
Advanced computer skills using MS Office Suite (Outlook, Word, Excel, Power Point etc.) and operation of other peripheral devices.
Moderate experience with Concur for travel and expense reporting, Ariba Guided Buying,
Professional communication skills
