Summary:
The Onboarding Specialist is responsible for the day-to-day administration of the New Hire Onboarding process and the Employee Referral Program at OneDigital. This role closely collaborates with Talent Acquisition, Payroll, IT, and other People and Culture teams to deliver a seamless onboarding experience for new hires, contractors, and their managers.
Essential Duties and Responsibilities (includes but is not limited to):
Onboarding Administration:
Act as the primary contact for onboarding-related inquiries, communicating necessary information about onboarding tasks, new hire orientations, employment authorization, and background checks to new hires, contractors, and hiring managers.
Complete onboarding tasks for employees and contractors, ensuring timely and accurate processing.
Track and facilitate background checks, employment verifications, and distribute employee covenant agreements.
Order and manage distribution of New Hire Welcome Kits.
Collect required documents and complete I-9 forms in compliance with Department of Homeland Security regulations.
Process and confirm E-Verify employment authorizations.
Ensure completion and proper filing of all new hire documentation, including offer letters and employee covenant agreements within the HRIS system.
Assist new hires and contractors (pre- and post-start date) by addressing general questions via email, calls, and direct interactions; escalating complex issues to appropriate departments or leaders as needed.
Report onboarding data and metrics, maintaining the HRIS Onboarding Dashboard.
Provide support for M&A onboarding activities, ensuring consistent onboarding processes and documentation.
Employee Referral Program:
Manage the Employee Referral Program, including referral tracking, auditing referral payments, addressing eligibility inquiries, and maintaining the Workday HRIS referral configuration.
People and Culture Support:
Complete Workday Help tasks in a timely manner to effectively address employee needs and departmental efficiency.
Conduct and support regular file audits to ensure required employee documentation is complete, accurate, and properly maintained.
Collaborate and coordinate effectively with Talent Acquisition, Human Resources, Benefits, DEIB, Learning and Development, Internal Communications, Compensation, HRIS, Payroll, and
