Compensation: $65,000-$70,000/yr + Bonus Eligibility
Position Summary
The Administrative Specialist will be the in-store liaison between our Los Angeles area stores and Human Resources team. Reporting to the Senior Global Director of Retail and closely collaborating with Human Resources. This role will be primarily responsible for supporting all Store Leadership teams and handling all administrative functions including but not limited to: scheduling, payroll, absence management, reporting. This role will oversee all onboarding to provide the best new hire experience for all new team members. The Administrative Specialist should be the main point of contact and subject matter expert for all Company specific policies and compliance: state, local. The Administrative Specialist will partner with Human Resources on updates and communications related to the teams. While this role is heavily administrative and compliance focused, the Administrative Specialist will also support the store teams operationally when needed. This role is based out of the West Hollywood store, with travel to other stores in the LA market as needed.
Responsibilities
Primary Responsibilities:
Maintain and manage in-store scheduling through Workday for more than 100 employees between 3 stores and 3 treats locations in the LA Market.
Oversee and approve all employee absences and time-off requests in partnership with the General Managers. Can act as a proxy for the General Managers as needed, in their absence.
Responsible for the completion of payroll and reporting on a weekly basis, identifying inconsistencies, time and attendance and reviewing with Senior Global Director of Retail and General Managers.
Monthly audits of commission & tips reporting in partnership with Senior Global Director of Retail and payroll partners.
Monthly compliance audits for state and company specific regulations: meal breaks, predictive scheduling, wage and hour, compliance training, etc.
Responsible for employee onboarding from the offer letter through coordinating new hire orientation with General Managers.
Update and maintain all posted company communication, as instructed by Human Resources and other business partners.
Ensure each store is compliant with all Local and Federal Laws & Regulations regarding in-store communications (e.g., OSHA, DOH, EEOC, etc.)
Facilitate low to mid-level employee relations concerns, intake conversations, in partnership with Human Resources.
Partner with Human Resources to escalate high-level employee relations concerns and policy violations.
Assist Human Resources and General Managers with drafting and delivering employee documentation and disciplinary actions. Act as a witness to conversations as needed.
Special Projects/Tasks:
Communicate brand wide communication at store/team meetings.
Collect all required documents/information from employees, as instructed by Human Resources.
This role is required to travel when needed about 40% of the time.
Requirements
Availability:
Open & flexible availability, including but not limited to evenings, overnights, and weekends as well as Holidays.
Availability to consistently work weekends, special projects, drops/releases or as the business’ needs require.
Experience
3+ years of Retail Leadership and Scheduling
2+ years of Retail Administration, managing high-volume teams is a plus
Experience utilizing HRIS such as Workday is a plus, but not required
