Requirements
The Associate Director, Alumni Association Operations and Services assists the Director, Alumni Association, Board Management, and the Executive Director, Georgetown University Alumni Association with the management of the Georgetown University Alumni Association, Inc. (GUAA) and with the services and benefits provided to more than 215,000 alumni. The Associate Director is responsible for the daily management of the financial affairs of the Alumni Association and its Board of Governors, the governing body of the GUAA. The incumbent is responsible for financial and property management and planning, annual and strategic budgeting, corporate royalty partnerships, and Board of Governors project management. Overseeing the implementation of alumni services to benefit the alumni population, the Associate Director supports the work of the office of the Executive Director on a periodic basis and has additional duties that include, but are not limited to:
Manage the daily GUAA business and financial affairs, overseeing the Association annual operating budget, the Association annual strategic plan budget, the GUAA Impact fund, and reserves of $6M.
Implement investment policies, use of annual funds, and all accounting policies and procedures, authorizing payment of bills and invoices for the Association.
Facilitate establishment of operational, budget, GUAA Impact Fund, and investment priorities, managing, analyzing, forecasting, and tracking progress for multiple Advancement budgets.
Conduct feasibility studies around various Audit and Finance Committee ideas and make strategic recommendations accordingly, including legal implications related to nonprofit tax law.
Supervise and collaborate with the bookkeeper to maintain Alumni Association financial reports, reviewing royalty proceeds and measure progress towards revenue projection.
Develop new affinity partnerships and additional sources of revenue for the GUAA that ensures fiscal health to fortify and further promote alumni engagement programming that support the goals of the Association and Georgetown’s Office of Advancement
Manage affinity partnerships, including legal affairs and contractual obligations and ensure all actions are in line with marketing and legal rules and restrictions.
Oversee the GUAA Marketplace which stores affinity partnerships as well as Hoya owned and affiliated business, partnering with internal partners such as the GUAA Alliance Team, Career Team, and development partners to leverage Hoya connections.
Oversee operations of Wagner Alumni House (approximately $5M) and Reed Residence (approx. $5M) properties in accordance with Advisory Neighborhood Commission and university legal counsel agreements.
Supervise fundraising and donor stewardship efforts for the Alumni House Endowment, and other GUAA strategic fundraising initiatives, managing depreciation and upkeep of space with more than 8,000 visitors annually.
Oversee financial management and usage obligations of Reed Alumni Residence to ensure University and Association are adhering to outlined agreements.
Work Interactions
The Associate Director, Alumni Association Operations and Services, reports to the Director, Alumni Association and Board Management who reports to the Executive Director, Georgetown University Alumni. On a regular basis, the position communicates and works closely with the President of the Alumni Association, its Executive Committee members, Directors of Alumni Relations, and high-ranking University officials on issues pertaining to the alumni community and Alumni Association
Requirements and Qualifications
Bachelor’s degree required
3-5 years of nonprofit or corporate management, or similar experience
Knowledge of QuickBooks and Microsoft Office Suite
Key interactions with alumni population and high-level donors
Background in marketing experience helpful
Experience or knowledge of contract negotiations
High level of confidentiality and demonstrated strategic thinking necessary
Knowledge of financial practices of a nonprofit organization preferred
