Duties and Responsibilities: 

Student Records Management:
• Maintain and update student records (personal info, academic status, grades, degree progress).
• Process transcript requests, enrollment verifications, academic amnesty, and other documents.
• Evaluate and record transfer credits in Banner.
• Update Banner for course equivalency changes.
• Generate reports on enrollment and academic performance.
• Ensure data accuracy and integrity in the student information system.

Academic Policy Compliance:
• Ensure registration and record-keeping comply with institutional policies, federal regulations, and accreditation standards.
• Assist in developing and implementing academic policies and procedures.

Integrated Academic Operations Platform Management:
• Configure Coursedog for Curriculum, Scheduling, Events, and Catalog based on institutional needs, including user roles and system preferences.
• Ensure seamless integration of Coursedog with Banner.
• Customize Coursedog features to meet specific institutional requirements, including workflows and reporting.
• Resolve technical issues and user inquiries, coordinating with software support as needed.
• Provide training for faculty and staff on using Coursedog effectively.
• Collaborate with the Registrar to create and update the college catalog in Coursedog, adhering to accreditation and institutional requirements.
• Ensure catalog content is accurate, up-to-date, and accessible to staff, faculty, and students.
Curriculum Management:
• Curriculum Committee Support: Serve as a voting member of the LDCC Curriculum Committee, ensuring policy adherence in the approval process for curriculum changes.
• Approved Curriculum Proposals: Manage documentation and publication of curriculum developments in Coursedog, Banner, Degree Works, and the College Catalog.
• Document Processes: Maintain records of curriculum changes, approvals, and communications with academic departments.
• College Support: Act as a subject matter expert on curriculum creation, approval, and documentation for the College.
Degree Works Management:
• Develop Degree Audits: Create and maintain degree audit templates in Scribing to reflect program and major requirements.
• Maintain Degree Works Data: Regularly update Degree Works with accurate program and course information.
• Audit Degree Works Reports: Ensure accurate processing of degree audits and students’ academic progress.
• Coordinate with Academic Departments: Collaborate to incorporate new program requirements and course changes into Degree Works.
• Troubleshoot Issues: Resolve discrepancies affecting degree audits or academic advising.
• System Coordination: Attend LCTCS meetings to discuss academic policies and technology integrations for Degree Works, acting as a liaison for clear communication with LDCC.
• College Support: Provide training on Degree Works software as needed.
Graduation Management:
• Collaborate with academic advisors and department leads to resolve discrepancies related to student records and graduation requirements.
• Serve on the Commencement Committee and coordinate commencement ceremonies.
• Schedule Banner jobs to identify graduates for summer, fall, and spring.
• Verify student eligibility for graduation by reviewing degree audits and ensuring compliance with requirements.
• Ensure accurate database entry and processing of graduating students in Banner.
• Update transcripts to reflect awards and honors.
• Order and deliver diplomas and certificates to students.
• Communicate graduation status to students.
• Coordinate graduation communications with the Registrar via BB Connect.
• Identify opportunities to streamline graduation procedures for efficiency.
Student and Faculty Support:
• Serve as the primary contact for students, faculty, and staff regarding registration, academic records, and related inquiries.
• Support academic advising by providing information on course prerequisites, degree requirements, and academic policies.
• Deliver excellent customer service by addressing inquiries and resolving issues related to registration and academic policies.
• Conduct training sessions for faculty and staff on registration, graduation, scheduling, and catalog procedures as needed.
Other Duties:
• Consult with the Registrar and Associate Registrar on enrollment and graduation issues.
• Participate in peer groups across LCTCS, LACRAO, SACRAO, and AACRAO.
• Assist the Registrar in responding to audits and findings.
