The Opportunity
Serve as the Executive Assistant to the Executive Director of MBA Programs and support the administrative needs of the Director of Financial Aid, the Director of Student Activities and Events, the Registrar, and two Associate Directors of Student Services.
Key Responsibilities
- Serve as the first point of contact for walk-in students, faculty, and staff at the Office of Student Services.
- Field, screen, redirect, and respond to standard telephone and walk-in inquiries; answer questions independently and serve as a reference for policies and procedures.
- Refer complex inquiries to appropriate staff members.
- Draft routine correspondence and merge files to produce letters.
- Assemble materials for complex reports and coordinate the submission of articles.
- Maintain listservs.
- Provide administrative, event, and project support for the Johnson Student Services Office.
- Set up and maintain filing systems and databases.
- Design simple spreadsheets and materials from a variety of information systems.
- Schedule appointments, meetings, and locations within general guidelines using an electronic calendar.
- Attend meetings and prepare notes.
- Make simple and somewhat complex travel arrangements.
- Prepare and submit travel reimbursements.
- Assist with processing charges, P-Card purchases, fund transfers, and travel reimbursements.
- Order office supplies and maintain inventory using online software.
What We Need
- High School Diploma with 2 to 4 years relevant experience.
- Strong communication, computer, interpersonal, and organizational skills.
- High degree of flexibility, creativity, and the ability to work with many different people.
- Strong attention to detail and ability to follow through on tasks under very general direction.
- Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.
- Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
- Ability to serve as an advocate for individuals of all ethnicities, genders, ages, and backgrounds.
- Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members.
