Description

This position provides administrative support and assistance to Disability Services and Counseling by answering and directing phone calls, greeting and directing visitors; assists in data entry, ordering supplies, submitting invoices for payment, proctoring and other duties as requested.  

  

Essential Job Functions  

  • Provides all aspects of secretarial/receptionist support for the departmental operations, including but not limited to answering phone calls, prepare memos, letters, and recommendations.
  • Greets vendors, students, and other visitors in a friendly, approachable, and professional manner and ensures that they are escorted to the appropriate areas.
  • Responsible for departmental mail delivery and distribution.  
  • Manage the departmental switchboard.
  • Organizes and maintains the central filing system for the department files both electronic and hard copy.
  • Assist students with locker keys, providing a key to students and making sure keys are returned
  • Delivery of exams including make-up exams and accommodated exams. 
  • Proctor exams as needed by Disability Services
  • Aid students in using kiosk to submit forms for Disability Services and Counseling
  • Assist Disability Services and Counseling with table set up and hosting as needed. 
  • Other duties as assigned by Supervisor

Qualifications

Required Qualifications 

  • Education, Training and/or Experience
  • A High School Diploma or equivalent with two (2) years of secretarial experience is required. 

   

Knowledge, Skills, Abilities and Personal Characteristics

  • Able to perform duties independently with general supervision.
  • Basic math skills (addition, subtraction, multiplication and division).
  • Ability to operate standard office equipment and follow office procedures.
  • Must be able to work well with diverse groups of individuals.
  • Ability to deal with potentially difficult situations involving sensitive and confidential issues.
  • Strong Computer skills; data entry and spreadsheet software capabilities.
  • Strong attention to detail; ability to organize work and perform duties with a high level of accuracy.
  • Effective oral and written communication skills.

 

Preferred Qualifications

  • An A. S. Degree in Business Administration or equivalent with two (2) to three (3) years of secretarial support experience is desired.    
  • Experience in higher education

 

Physical Demands

  • Nature of work requires an ability to operate standard business office equipment.  
  • Requires ability to communicate and exchange information, collects, compiles, compares, and prepares work documents, set-up and maintain work files.
  • Must spend majority of time concentrating on CRT identifying and updating information and performing data entry input.
  • Must be able to lift up to 25 lbs; retrieving and placing materials on high shelves and on floor-level shelves; standing, walking; carrying; grasping; hearing; seeing; sitting; kneeling; climbing; balancing; stooping; crouching and reaching.
