The is a full time work remote position supporting Area Director for AZ, CA, HI, KS, MN, MO, NE, NV, TX, WA. Candidate needs to be located in Central or West Coast time zone and have 1-2 years Administrative Assistant titled experience.
Summary:
Join the MinuteClinic team in a highly visible and impactful role supporting the Executive Area Director and leadership team. As a key member of the area support team, you will play an integral role in coordinating leadership meetings, area events, business communications, travel, and operational activities. You will leverage your analytical skills and proficiency in Microsoft Excel and PowerPoint to create meaningful reports, executive presentations, and business insights that support strategic decision-making. This role offers the opportunity to build relationships across the organization, contribute to regional initiatives, improve processes, and help deliver exceptional experience for leaders and colleagues throughout the area.
Key Responsibilities:
- Provide administrative and operational support to the Executive Area Director and area leadership team.
- Support area coverage by coordinating activities across multiple markets, locations, and time zones.
- Plan, schedule, and coordinate area meetings, including agendas, logistics, meeting materials, communications, and follow-up actions.
- Organize meetings and special events by preparing necessary materials, securing venues, managing attendee lists, ordering catering services, and coordinating with speakers and vendors.
- Coordinate area events, leadership meetings, town halls, and off-site gatherings, ensuring seamless execution of all logistics and attendee support.
- Manage travel arrangements for area leadership, including airfare, lodging, transportation, and itinerary preparation.
- Process and reconcile travel and business expenses in accordance with company policies and timelines.
- Prepare executive presentations, reports, dashboards, and business communications using Microsoft Excel and PowerPoint.
- Maintain, track, and analyze data to support business planning, operational reporting, and performance monitoring.
- Collaborate with internal and external stakeholders to ensure effective communication and successful execution of regional priorities and initiatives.
- Manage office and business support activities to maintain efficient day-to-day operations.
- Coordinate special projects and provide administrative support for key business initiatives.
- Identify and implement process improvements that enhance productivity, consistency, and operational effectiveness.
- Handle confidential and sensitive information with a high level of discretion and professionalism.
- Ensure timely completion of assignments while effectively managing multiple priorities and competing deadlines.
Required Qualifications
- High School Diploma or GED required; Associate degree preferred.
- 1–2 years of administrative, executive support, event coordination, operations support, or related experience.
- Proficiency in Microsoft Office Suite, including Teams, Outlook, Word, Excel, and PowerPoint.
- Demonstrated experience coordinating meetings, events, travel arrangements, and expense management.
- Strong analytical and data management skills with the ability to organize and present information effectively.
- Excellent organizational skills with the ability to prioritize multiple tasks and meet deadlines with minimal supervision.
- Strong attention to detail and commitment to accuracy.
- Excellent verbal and written communication skills, including professional business correspondence.
- Strong interpersonal skills and proven ability to collaborate effectively with leaders, colleagues, and cross-functional partners.
- Ability to exercise sound judgment and maintain confidentiality when handling sensitive business information.
- Ability to travel is up to 5%.
