This is a remote position.

Schedule: Full-time

• Mondays to Fridays, 9:00 am to 5:00 pm OntarioTime with a 30-minute paid break 


Client Location/Timezone: Ontario, Canada, 

Job/Company Overview: A Health clinic providing Psychiatric and Psychological Assessment services and treatments.

 

Core Responsibilities:


● Managing the clinic’s schedule, the clinician’s schedules, and monitoring any wait lists;
● Creating booking blocks for assessment services at the clinic.
● Identifying and deleting “stale” or outdated and unused booking blocks and “TBC”s in clinician schedules.
● Adjusting and managing video therapy rooms;
● Having a critical eye on the clinician schedules to ensure the booking blocks are reflective of clinician availability.
● Monitoring and managing inboxes and faxes; answering phone calls, live chats, and all incoming communications from patients, referral sources, and clinicians;
● Monitoring any patient wai tlists.
● Ensuring sessions, consults and assessments booked on the schedule are occurring

Other duties:
● Support the Billing Team with processing appointment invoices: OHIP billing, billing reconciliation, MD invoices, MD no shows, and Contractor Invoicing.
● Operating the virtual front desk, interfacing with our email servers and phone communication systems to interact with patients of our virtual clinic
● Managing incoming patient queries and requests, completing patient intake procedures, and providing exceptional patient support;
● Demonstrate empathy, strong clinical knowledge, and ability to respond to difficult situations effectively;
● Connecting with medical clinics/external physicians for reports, results and/or referrals;
● Reporting to the management team as necessary;
● Other duties as mutually agreed upon.

Qualifications & Skills:
● Proven experience in appointment coordination, preferably within a medical clinic or healthcare setting.
● Strong organizational skills with the ability to manage multiple appointments and schedules efficiently.
● Strong interpersonal skills with a focus on delivering excellent patient service, handling inquiries, and addressing
patient concerns professionally.
● High attention to detail to ensure accuracy in scheduling, confirming appointments, and maintaining patient records.
● Strong experience with appointment scheduling software and electronic medical records (EMR) systems;
● Post Secondary education, or the equivalent in Business Administration, Health Care Management, or related field is preferred
● Completion of a Medical Secretary Course is an asset
