General Scope of Responsibilities:

An Applications and Engineering Coordinator works alongside the applications and design departments to oversee the proper execution of the projects and various offer to order tasks. Their tasks are a combination of Financial, Commercial (Insurance, Tax, and Contractual), and Project Execution in nature. 

 

Specific Responsibilities:

Major responsibilities are listed but not necessarily limited to the following duties:

  • Assist in scheduling and report activities/jobs of the representatives in the group resource schedule
  • Maintain both hard file and electronic file for all projects, field service orders, service contracts, and off-site inventory
  • Perform Shipping and Receiving for assembly facility in Dalton, MA; Includes receiving shipments into SAP and coordinating shipments with Project Management / Logistics departments.
  • Manage Inventory in Dalton, MA
  • Generate and track purchase requisitions for project purchasing from request forms provided by Project Managers
  • Assist Engineering personnel by releasing drawings within SAP, printing drawings/BOMs/ Order Information, maintaining engineering records, etc.
  • Work closely with management on potential problems to ensure customer satisfaction.
  • Assist with various project accounting functions.
  • Assist Inside Sales and Applications Engineers with colorizing proposal layouts in Photoshop
  • Generate graphics for Capital Project manuals
  • Creation of customer manuals for sold equipment in conjunction with Engineering personnel.
  • Generate SAP quote numbers and electronic folders for Spare Parts, Field Service, and Service Contract customer quotes.
  • Answer calls / emails about contracts, Caps issues, Service, invoice questions, shipment questions, consignment
  • Assist with new hire/ contractor onboarding
  • Support IT with managing hardware in offices, cubicles, and spare hardware storage
  • Prepare and distribute quotes to the customer.
  • Prepare completed orders for customer invoicing.
  • Audit all orders to ensure accuracy and completeness prior to entering order. 
  • Enter and acknowledge sales orders in SAP
  • Work closely with management on potential problems to ensure customer satisfaction.
  • Assist Project Managers in maintaining customer account, project scopes, contract renewals and account maintenance needs.
  • Along with Controller and other Project Controllers work on policies, procedures and training for sales and service staff and needed.
  • Coordinate office meetings, conference room bookings, and group functions.
  • Support SAP Concur travel bookings and expense reporting for management team
  • Travel- (Short trips to Assembly Locations).

 

Supervision Received:

Work is assigned and reviewed for accuracy. Routine work is normally done within department guidelines and with technical advice.

 

Position Requirements:

  • Two+ years of experience in customer service, inside sales, or accounting.
  • Associate’s Degree in Administration, Accounting, Business, Finance or Office Managment preferred, but not required.
  • Proficient in Word, Excel, and Outlook.
  • Familiarity with SAP or other ERP is a plus.
  • Strong interpersonal/communication skills and ability to work in a team environment as well as independently.
  • Ability to simultaneously manage multiple tasks in an efficient and professional manner.
  • Perform moderately complex tasks requiring a fundamental knowledge of the Company’s products and services.
  • Good communication skills, written and verbal

Effort & Working Conditions: Working conditions can include production/fabrication facilities, paper mills, offices and vendor sites.

Normal work environment involves freedom to move about. The physical environment is clean and climate-controlled within an office workstation. May be required to visit the manufacturing floor where noise, dust, heat are present. Sensory attention is required to read reports, answer telephones, sit for long periods of time, attend meetings, etc. High demands in terms of deadlines.
