About The Role:

Notion is an in-person company across our global offices, and we believe creative magic happens when we collaborate together in the same space. We’re looking for an AMER Workplace Lead to own the strategy and day to day excellence of our San Francisco and New York offices.

In this role, you’ll lead a team that delivers a consistent, high-quality, distinctly-Notion workplace experience balancing operational rigor, people-first service, and a strong point of view on how space and in-person rituals help teams do their best work. You’ll be the regional leader and “bar raiser” for workplace operations and employee (Notino) experience, while partnering closely with cross functional teams (Security, IT, People, Finance, Recruiting, Comms, Events, Real Estate/Build, etc.) to keep our offices running smoothly and evolving thoughtfully.

This role reports to the Global Head of Notino Experience and is based in San Francisco, CA.

What You'll Achieve:

Regional leadership (SF + NYC)

  • Own the local Notino experience for SF + NYC: setting clear standards, rhythms, and service expectations.

  • Translate company operating rhythms and in-office philosophy into practical, local execution so it’s easy (and delightful) for teams to show up and do great work.

  • Serve as the senior point of contact for AMER workplace escalations, sensitive issues, and high visibility moments.

People leadership + team development

  • Lead, coach, and develop a multisite team (Workplace Experience Leads/Coordinators, Front Desk/Concierge support, contractors, vendors), including hiring, onboarding, performance management, and career growth.

  • Build a high-trust, high-agency team culture: clear DRIs, great handoffs, durable coverage, and calm execution during peak moments.

Operational excellence + facilities management

  • Ensure reliable day-to-day operations across both sites: front desk/guest flow, badging/access processes, mail/packages, food & beverage, amenities, supplies, cleaning, repairs, and vendor performance.

  • Create and maintain scalable processes and documentation (SOPs, run books, vendor playbooks, emergency procedures) that reduce single points of failure and enable consistent execution.

  • Partner with Security and building management to uphold safety and compliance expectations (emergency preparedness, drills, incident response, etc.).

Budgeting + vendor strategy

  • Own site-level budgets across both hubs, including forecasting, tracking, and making tradeoffs that protect what matters most.

  • Manage key vendor relationships and contracts (negotiation, renewals, performance reviews), ensuring quality, cost control, and strong service levels.

Programs, culture, and “magical moments”

  • Partner with Events/Comms/People to deliver in-office moments that strengthen connection to our business and our culture.

  • Raise the bar on the everyday: space readiness, meeting room experience, hospitality, and the small details that make coming in feel worth it.

Space planning + growth readiness

  • Collaborate with Real Estate/Build and cross functional partners on moves/changes, space planning, and ongoing improvements that support team growth and evolving work patterns.

  • Use data and feedback (employee sentiment, office utilization, recurring pain points) to prioritize improvements and measure impact.

Skills You'll Need to Bring:

  • 8+ years in workplace operations / facilities / workplace experience (or similar), with multisite responsibility in a fast-paced environment.

  • People management experience, including leading while based in a different office than your local team; strong coaching and performance management fundamentals.

  • Demonstrated ability to run complex operations with high standards: vendor management, budgets, escalation handling, and building strong cross-functional partnerships.

  • High judgment, discretion, and calm execution especially in ambiguous, high visibility, or time sensitive situations.

  • You don’t need to be an AI expert, but you’re curious and willing to adopt AI tools to work smarter and deliver better results. You believe that utilizing AI will allow us to do more of the work that matters most.
