Job Description: The Production Specialist will provide support, independently, with supplier management and help ensure orders are fulfilled accurately and on time. The individual will be responsible to provide support with managing orders through to delivery. The primary function is to ensure the business is running smoothly behind the scenes and that all our orders in production with our supplier partners are being fulfilled and produced as per the purchase orders and client requests. The individual will be responsible for helping communicate with the customers by providing them production proofs, order updates, tracking numbers and navigating through potential set-backs that happen after orders are in production.
Essential Responsibilities:
- Managing the production process alongside our vendors and communicating updates in a timely manner to our client’s
- Working hand in hand with our fulfillment center(s) to get one-off requests shipped out for our client’s
- Import batch orders, export tracking reports, check inventory counts, and maintain log-in info for our fulfillment and kitting jobs
- Send proofs to our client’s for approval if/when needed
- Navigate and help resolve art issues with our vendors, utilizing the art team if/when needed
- Follow up with suppliers for tracking information
- Sending tracking to customers
- Navigating any shipping related issues such as address corrections, customs forms, returns, etc.
- Communicating with clients regarding shipping issues, tracking updates, delivery confirmations, etc.
- Assist with shipping labels, shipping estimates, scheduling freight pick-ups, courier pick-ups, etc.
- Daily Deliveries - utilizing the Production Report to inform the team of all orders that delivered the day prior
- Managing & updating the Production Report on Commonsku on a daily basis
- Help resolve error orders and client issues with the assistance of the Sales Team
- Assist with blank apparel discrepancies - communicate with the supplier and the decorator to get issues resolved
- Update and maintain supplier changes internally - contact info, email addresses, warehouse locations, etc.
- Schedule Production Meetings (10-15 minutes) with each Account Manager once a week to review orders & discuss pain points/error orders
Minimum Qualifications:
- 3+ years of professional work experience required
- 1+ year of promotional item procurement or logistics experience required
- Ability to work in a remote environment with strong, reliable internet access
