Overview
Element has an opportunity for a Client Services & Order Management Specialist to perform order entry of incoming test requests and other scheduled tasks under direction of Office Manager or detailed procedures. Perform technical review of client PO’s to ensure compliance.
Salary: $20- $30/hour (Depending on Experience)
Responsibilities
- Receive incoming shipments & assist with customer pickup and return of samples
- Review customer PO’s, and enter work orders
- Verify that orders received include all necessary paperwork to allow for proper testing of samples
- Contact customers over PO discrepancies or to obtain additional test detail
- Serve as a point of contact for customers, assisting them with order status updates
- Distribute entered sample/material to required processing departments
- Work with Production and Laboratory personnel to expedite work
- Ensure that requirements for Subcontracting of work are met and generate required documentation, upon request
- Alert staff to expedite/ rush work and follow-up on issues
- Promptly address revised PO’s for work in progress by entering the new PO’s into the system and communicating changes to appropriate department supervisor
- Interact with internal departments on questions or issues related to particular projects
- Assists with coordination of production, quality and process improvements
- Assist in the access and persuasion steps of the sales process; including qualifying, relationship building, needs evaluation, solution development / presentation and closing
- Proactively engage with customers using phone, email, web conferencing
- Identify current and future customer service requirements by establishing personal rapport with potential and actual customers, acting as a liaison between the customers and Element Material Technology
- Manage relationships with customers
- Focus on straightforward quotation enquiries for standard products & services
- Gain pricing and lead time from standard price lists
- Work with departments to resolve complaints
- Process sales invoices, quoting and provide status report to clients
- When applicable, handle requests for information (e.g. shipping / delivery dates)
- Actively utilize Customer Relationship Management (CRM) tool to record activities, ensuring contact details are accurate, duplicates are removed, new information is added, and accurate call / visit logs are entered
- Achieve sales goals by converting and penetrating accounts
- Build and maintain a working knowledge of Element Material Technology service offerings; participate in training / coaching opportunities
- Ensures all work is performed in accordance with company safety and quality policies and procedures and regulatory agency regulations
- Other duties as assigned by supervisor or lab management
Skills / Qualifications
High school diploma or equivalent required; associate degree in business administration or related field preferred
2–4 years of experience in customer service, order management, or administrative support—preferably in a testing laboratory or technical services environment
Strong attention to detail with proven accuracy in data entry, documentation, and PO review
Proficient in Microsoft Office Suite (Word, Excel, Outlook)
Excellent written and verbal communication skills with the ability to manage client inquiries and coordinate across departments
Highly organized with strong multitasking and problem-solving abilities in a fast-paced setting, with commitment to safety, quality, and process compliance
This position requires access to export-controlled commodities, technical data, technology, software, and services. U.S. citizenship, U.S. legal permanent resident status, protected person status under 8 U.S.C. § 1324b(a)(3), or U.S. Government export authorization is required. Any offer of employment is contingent upon the employer obtaining the necessary export authorization, including, if required, an export license from the U.S. Department of Commerce’s Bureau of Industry and Security, the U.S. Department of State’s Office of Defense Trade Controls, or other applicable government agency.
