Job Description Summary

The Administrative Coordinator will provide comprehensive support for the day-to-day operations of the Institute for Immunology & Immune Health (I3H). This role offers primary administrative assistance to the Director of Strategic Alliance and Operations, while also providing backup support to the Immunology Graduate Group coordinator for annual retreat planning and student admissions processes. The ideal candidate will excel in coordinating I3H programming, managing logistics, and supporting general administrative functions.

Job Responsibilities

Provide high-level administrative support to I3H leadership, manage complex calendars and schedule appointments, assist in the coordination of events, including the annual offsite retreat, arrange travel and accommodations for staff and visitors, process expense reports and reimbursements, maintain office operations and manage supplies, administer and maintain listservs and distribute event materials, support I3H programming coordination and execution and deliver exceptional customer service to internal and external stakeholders.

Qualifications

High School Grad/GE Degree, and 5 to 7 years of experience or equivalent combination of education and experience is required.

  • Exceptional organizational and time management skills
  • Strong attention to detail and ability to follow instructions precisely
  • Excellent interpersonal and communication skills (both verbal and written)
  • Proficiency in Microsoft Office suite
  • Ability to work independently and manage multiple tasks simultaneously
  • Initiative to anticipate needs and proactively solve problems
