About the Team
You will be part of the Real Estate and Store Development team responsible for building the pipeline for new stores and maintaining our existing fleet of retail stores across the globe for all seven WSI brands. Our job is to ensure that every WSI store location is in the most relevant shopping venues in each market, produces a strong return in line with our corporate initiatives and ultimately provides the best shopping experience possible for our customers.
Overview of the Role
As part of the Real Estate (RE) Team, you will be responsible for working with the RE dealmakers to coordinate and track all store renewals, new deals, closures, and related real estate matters for all WSI brands in order to meet Company and RE Department goals. The position will report to the VP of Real Estate.
Responsibilities
- Own end-to-end RE Committee preparation and coordination to include:
- Effective project transmittal and coordination of corresponding materials with Store Development for new stores and remodels:
- Be responsible for the transmittal and coordination of all materials related to real estate dealmaking including site photos, plans, LODs, building drawings, and related materials
- Work alongside the Construction Coordinator to ensure all projects are accounted for on the Real Estate Calendar through weekly updates to monitor deal status and ensure all timelines are met
- Schedule all project kickoff calls and post approval call to ensure seamless coordination between WSI RE and Store Development teams and Landlord teams
- Solicit monthly RE Committee Meeting Agenda items from internal team members and distribute internally with timelines
- Proactively collect and organize applicable materials from Finance, Real Estate, and Store Development for all deals and required pre-approval meetings, ensuring all materials are submitted timely and accurately to VP and SVP of Real Estate for their review
- Distribute final deal packages to VP and SVP of Real Estate for distribution to all members of the Real Estate Committee and compile post-meeting recap notes
- Document and archive RE Committee outcomes
- Act as liaison between dealmakers with Legal Services, Lease Administration, Store Development, Finance, Operations, Landlords, and related RE personnel in resolving ongoing real estate issues
- Proactively develop integrated solutions through the enhanced organization, collaboration, and communication
- Administrative responsibilities such as scheduling, calendar management, coordinating between internal and external business partners, file management, etc.
- Process internal mail and invoices for RE vendors and Brokers, as applicable
- Scheduling team meetings for bi-annual International Council of Shopping Centers (ICSC) convention
- Assist Corporate Accounting in impairment analysis through gathering market comps in partnership with Brokers
- Schedule and document dialogue in Strategy/Market Planning Meetings for each Brand with dealmakers, appropriate real estate individuals, and designated Brand counterparts
- Document outcomes for portfolio review meetings with largest landlords
Qualifications
- Bachelor's degree or equivalent work experience
- Proficient in Excel
- You have excellent verbal and written communication skills
- You have strong customer service skills.
- You are exceptionally organized and enjoy administrative responsibilities
- You efficiently plan and manage your time
- You are proactive and a self-starter
- You determine priorities and outline deliverables with high attention to detail to ensure timelines are met
- You exhibit professionalism and are a positive business partner, putting the team before self
- Ability to work in a fast-paced environment
Technical Competencies required:
- You have superior computer skills including business applications such as MS Windows and MS Office Excel, Word, PowerPoint and Adobe Acrobat DC
- Ability to perform work onsite in the San Francisco office full-time pending state, local, and Company return-to-work guidance during and after the COVID-19 pandemic.
