Examples of duties
(Illustrative Only) Formats and types letters, memoranda, and legal documents for the review, approval and use by an attorney; files documents with the appropriate court or entity; Prepares and processes confidential and sensitive legal documents and correspondence; Transcribes meeting and interview notes and recordings; Develops and maintains office records and files; Processes and logs incoming documents and directs them to the proper location; assists with scheduling and make appointments; greets visitors/callers, ascertains nature of business, and directs to appropriate person; sorts, indexes and retrieves forms, correspondence and documents; checks and completes records, forms and documents; regular and reliable attendance is required; performs other duties as assigned.
Qualifications
High School Diploma or GED equivalent; AND one year of secretarial work with some experience in legal work or closed related; OR an equivalent combination of education and experience; requires a successful completion of a background check.
Supplemental information
Knowledge of: County policies and procedures; general office practices and procedures; business English, spelling, punctuation, and grammatical usage.
Skilled in: The use of the English language, including spelling, punctuation and grammar; the preparation of documents and reports; operating various office equipment and word processing; creating and maintaining files; taking and recording notes; meeting and dealing effectively and tactfully with public inquiries and problems; establishing and maintaining effective working relationships with employees, other agencies and the public; prioritizing work assignments to meet time constraints; maintaining confidentiality; communicating clearly and concisely, both verbally and in writing.
Ability to: Effectively respond to phone calls, emails and complaints in a timely manner; plan, prioritizes, manages and responds to multiple assignments in a fast-paced environment; read, write, research, synthesizes data and detailed reports; use modern office equipment and computers; communicate effectively verbally and written; lift up to 5 – 25 lbs.
Working Environment:
The usual and customary methods of performing the job’s functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity.; generally the job requires 60% sitting, 20% walking and 20% standing; working at a computer monitor for extended periods required; the job is performed under minimal temperature variations and in a generally hazard free environment.
