Supports the hiring and onboarding of all foreign nationals employed by WashU by maintaining accurate employee records in Workday, coordinating with foreign nationals and WashU departments, and ensuring immigration related data is complete, consistent, and reportable. Additionally, the role supports FNIS, ITIN applications, Workday related immigration inquiries, and data reconciliation between Workday and I-9 records. By leveraging Workday to administer record changes, troubleshoot issues, and evaluate data, the Coordinator ensures all actions align with university policies, data governance standards, institutional compliance and operational efficiency.Job Description
Primary Duties & Responsibilities:
Data Management:
- Manage Workday processes for foreign nationals. Lead and coordinate Workday immigration procedures for all foreign nationals, including individuals sponsored by WashU and those who do not require institutional sponsorship.
- Maintain data integrity. Create and maintain foreign national records in Workday. Create, process, update, maintain and approve accurate Workday records for foreign nationals, ensuring information is complete, current, and consistent with university procedures.
- Review wage and compensation as related to immigration. Monitor and review Workday data for all foreign national employees, including both university sponsored individuals and those with independent work authorization. Verify that position pay aligns with "specialty occupation" requirements for sponsored visa holders (e.g., H-1B, TN, O-1).
- Resolve record discrepancies. Monitor record completion and proactively follow up with foreign national students, scholars, employees, and departments to resolve missing information, required corrections, missing information, or other data issues.
Customer Service:
- Serve as subject matter expert. Act as a university resource for Workday immigration data matters, providing timely, accurate and professional responses to email and phone inquiries from international students, scholars, and employees.
- Facilitate Cross-Functional Collaboration. Partner with University departments including but not limited to the I-9 team, payroll to streamline processes, resolve complex inquiries to ensure consistent reporting.

Preferred Qualifications:
Experience with Workday, SEVIS, FNIS or other immigration, HR, payroll, or data management systems.
Must be able to be a designated school official (DSO) and alternate responsible officer (ARO) (requires US citizenship or lawful permanent residence in the US).
