Position Summary

Washington University seeks a highly organized and detail-oriented professional for the position of Director of Regional Cabinets and Special Projects. This role is critical for managing and executing the logistics of Regional Cabinets, enhancing the university's engagement with alumni, parents, and friends across various territories. The Director will collaborate with the Executive Director of Operations and the Associate Vice Chancellor for Individual Giving to ensure seamless operations and impactful regional initiatives.

Job Description

Primary Duties & Responsibilities:

Logistics Execution:

  • Ensure all logistical aspects of Regional Cabinets are executed efficiently and align with the university’s standards and protocols.
  • Develop and maintain a comprehensive events calendar to facilitate regional engagement activities.
  • Serve as a liaison between Individual Giving, Regional Special Events, and Engagement & Annual Giving Programs (EAGP) to develop agendas and ensure alignment regarding staff and volunteer roles in bi-annual operational meetings.
  • Collaborate with Individual Giving Executive Directors to strategically plan for community engagement and meet the needs of their territories.
  • Research and share information about university priorities and compelling opportunities to connect prospects with the university.

Support for Regional Cabinet Special Projects:

  • Provide project management and support for special projects related to Regional Cabinets, ensuring alignment with the mission, vision, and goals of Individual Giving and University Advancement.
  • Plan and execute special trainings or programming for all cabinets in partnership with Regional and Special Events (RSE).
  • Serve as a continuous and consistent resource for executing on-the-ground projects in collaboration with senior management.

Coordination:

  • Act as a liaison between Regional Cabinets and Individual Giving, facilitating effective communication and alignment on goals and objectives.
  • Manage the scheduling of regional cabinet events in cooperation with the Regional and Special Events team.
  • Collaborate with University Advancement (UA) writers, EAGP, AdComms, and RSE to review communications related to regional engagement, including newsletters, event materials, talking points, and follow-ups.
  • Review all invitations, programs, and bios for regional events.
  • Coordinate with regional directors to strategically plan for community engagement and address the needs of regional communities.

Data Management and Reporting:

  • Maintain accurate records of Regional Cabinet activities, including member participation, length of service, and event outcomes using the university’s CRM system.
  • Compile and analyze data regarding Regional Cabinet member attendance, meeting notes and outcomes, and member giving to generate monthly reports and insights, supporting continuous improvement and strategic decision-making.
  • Oversee the chancellor letter process for Regional Cabinet membership.

Additional duties as assigned by the Executive Director of Operations, Individual Giving.
