This role will support the Cell Therapy Global Patient Operations Organization (GPO). The ideal candidate should demonstrate a dynamic, performance-driven, well-organized, and flexible behavior who thrives in a fast-paced environment which is dedicated to bringing important medicines to patients. This individual must be able to work independently and collaboratively within an environment comprised of both internal BMS, as well as external partners. The Business Operations Specialist will be responsible for providing high-level administrative support to our executive team (40%) and executing various business operations tasks (60%). This role requires a detail-oriented individual with excellent communication skills and the ability to manage multiple priorities effectively.
Key Responsibilities, including but not limited to:
Executive Administration (40%)
- Perform complex and diverse administrative functions, which by nature of the position involve high-level contacts and exposure to sensitive information necessitating the considerable use of confidentiality, tact, diplomacy, discretion, and judgment.
- Coordinate and manage the schedules of executive team members, including arranging meetings, appointments, and travel plans.
- Assist in planning and organizing company events, meetings, and conferences.
- Prepare agendas, take minutes, and follow up on action items for executive meetings as needed.
- Manage all department-level Distribution Lists and the department SharePoint site, ensuring appropriate members are added and access is granted to new members
- Assist with expense report submissions for leadership as needed.
Business Operations (60%)
- Work directly with GPO LT, finance, and extended team members to draft annual budgets.
- Oversee budget tracking and adherence across GPO functions monitoring funds left in POs and add funds as needed to prevent business disruption.
- Use systems such as SAP, Oracle, Basware, Ariba, Buy@BMS, to ensure SOWs are executed through its lifecycle (from draft to effective).
- Owner of GPO purchase orders inclusive of third-party vendors and commercial invoicing for CAR T.
- Assist new hire onboarding/offboarding for all GPO employees.
- Support functional teams with process of posting new positions (FTE and contractors) and maintaining GPO job descriptions.
- Own annual planning of GPO People Council activities.
- Identify and implement process improvements to enhance operational efficiency and effectiveness.
- Ability to travel in support of GPO LT up to 10% (domestic and international)
Qualifications
- High School degree, some college or degree desirable
- 5 years administrative or comparable experience; prior BMS and Executive Associate Experience preferred
- Proficient with Microsoft Suite (Outlook, Word, Excel, PowerPoint). Knowledge of BMS Systems and Processes, video conferencing and Microsoft teams, skype
- Concur Travel and T&E, Ariba/SAP, SharePoint, eSetup/myBMS, eTime, Workday, Room Scheduler preferred
- Demonstrate ability to prioritize, pro-actively work independently and collaboratively with other administrative assistants/external partners, across organizational levels, functions, and supports business needs across different time-zones and during periods of heavy workload.
- Successful candidate must be able to learn new tools and systems in an ever-evolving environment.
- Exhibits a positive work attitude, and high productivity.
- Ability to handle sensitive information with discretion and confidentiality.
- Experience with project management tools and software is a plus.
