What success looks like in this role:
We are seeking an experienced and dynamic Program Manager to oversee the operation and maintenance of our company's fleet of vehicles. The Program Manager will be responsible for ensuring the safe, efficient, and cost-effective management of our fleet. This role involves supervising maintenance, managing budgets, and optimizing fleet operations to support the company’s goals and objectives.
Key Responsibilities:
- Fleet Management: Oversee the daily operation of the company’s fleet, ensuring all vehicles are well-maintained and operating efficiently.
- Leasing and Renting:
- Vendor Relationships: Establish and maintain relationships with leasing and rental companies.
- Contract Negotiations: Negotiate leasing and rental contracts to secure favorable terms.
- Cost Analysis: Conduct cost-benefit analyses to determine the most cost-effective leasing and rental options.
- Record Keeping: Maintain records of lease agreements, rental contracts, and related documentation.
- Acquisition:
- Vehicle Selection: Identify and select vehicles that meet the company's operational needs and budget.
- Procurement Process: Manage the procurement process, including issuing requests for proposals (RFPs) and evaluating bids.
- Vendor Coordination: Work with vendors to ensure timely delivery and proper configuration of vehicles.
- Maintenance:
- Preventive Maintenance: Develop and implement preventive maintenance schedules to extend vehicle lifespan.
- Repairs: Coordinate and oversee vehicle repairs to ensure minimal downtime.
- Inspections: Conduct regular inspections to ensure vehicles are safe and operational.
- Maintenance Records: Maintain detailed records of maintenance and repairs for each vehicle.
- Disposal:
- Decommissioning: Determine when vehicles should be decommissioned based on age, mileage, and condition.
- Resale: Manage the resale of decommissioned vehicles to maximize return on investment.
- Disposal Methods: Explore alternative disposal methods, such as auctioning, donating, or scrapping.
- Environmental Compliance: Ensure disposal methods comply with environmental regulations and standards.
- Leasing and Renting:
- Budget Management: Develop and manage the fleet budget, including tracking expenses, identifying cost-saving opportunities, and ensuring compliance with financial policies.
- Safety Compliance: Implement and enforce safety protocols and procedures to ensure the safety of drivers and the fleet. Conduct regular safety training and audits.
- Vendor Management: Establish and maintain relationships with vehicle manufacturers, maintenance providers, and other vendors to negotiate contracts and service agreements.
- Fleet Optimization: Analyze fleet performance data to identify areas for improvement and implement strategies to optimize fleet utilization, reduce costs, and improve efficiency.
- Compliance: Ensure all fleet operations comply with local, state, and federal regulations, including maintaining accurate records and documentation.
- Reporting: Prepare and present regular reports on fleet performance, maintenance, and costs to senior management.
You will be successful in this role if you have:
Qualifications:
- Preferred Bachelor’s degree in Logistics, Business Administration, or a related field.
- Minimum of 5 years of experience in fleet management or a similar role.
- Strong knowledge of fleet management software and tools.
- Excellent organizational, problem-solving, and analytical skills.
- Strong communication and interpersonal skills.
- Ability to manage budgets and understand financial statements.
- Valid driver’s license and clean driving record.
Preferred Skills:
- Certification in fleet management or related field.
- Experience with GPS tracking systems and telematics.
- Knowledge of vehicle maintenance and repair procedures.
- Familiarity with safety regulations and compliance standards.
Working Conditions:
- This position may require occasional travel to various locations to oversee fleet operations.
- The role may involve working in different environments, including office settings and vehicle maintenance areas.
