  • Salary: The hiring salary for the Administrative Assistant II is starting at $57,800 annually. The full pay range for the Administrative Assistant II is $49,402 to $79,042 annually.

About the Job:

The Planning and Environmental department is looking for a skilled and knowledgeable Administrative Assistant II with a strong attention to detail to provide excellent administrative support.

The ideal candidate will have strong organizational and multitasking skills with a proven ability to work with diverse groups. They will have a keen eye for detail and will have a solid understanding of processing contractual requests.

What You’ll Do:

  • Collaborate with cross-functional teams to manage the processing of invoices, ensuring compliance with contract provisions and budgets through thorough accounts reconciliation.
  • Assist in the planning and execution of project lifecycles, including the development of scopes of work, cost estimates, bid packages, project schedules, and closeout processes.
  • Proofread and check all materials, reports, and documents for accuracy, completeness, and adherence to organizational standards and policies.
  • Track and process all incoming and outgoing project documents, including submittals, requests for information, and change orders; ensure timely routing and signature.
  • Manage departmental records systematically, organizing, storing, and retrieving physical and digital documents in compliance with policy.
  • Prepare technical reports, memoranda, and correspondence; develop materials for meetings and act as a liaison with consultants, contractors, and outside agencies to ensure compliance with construction standards.
  • Coordinate meetings, prepare meeting announcements and take detailed notes for distribution, and other duties as assigned.
