Who are we looking for?

The admissions coordinator is responsible for assisting with the admission process of residents in accordance with established policies and procedures. This role involves supporting the interview process, ensuring proper documentation, maintaining accurate resident records, and facilitating smooth admissions, transfers, and discharges. The admissions coordinator also works closely with other departments within the facility to ensure quality service and compliance with all regulatory requirements.

Essential Duties and Responsibilities

  • Receive and follow schedules and instructions from your supervisor, adhering to the policies and procedures established by the facility.
  • Assist in interviewing residents, guardians, and sponsors to gather required admission information and signatures.
  • Support the resident admission orientation program, ensuring compliance with established policies and procedures.
  • Admit and prepare identification records for new residents, in accordance with established policies and procedures.
  • Maintain an accurate record of available beds and assist in managing admissions, transfers, and discharges.
  • Develop and maintain positive working relationships with interdepartmental personnel and other departments within the facility.
  • Provide residents with an admission information packet, including resident rights, privacy practices, and admissions contracts. Ensure that residents understand and review the information as necessary.
  • Obtain the necessary signatures from residents or guardians for permits, releases, authorizations, and other documents.
  • Maintain an up-to-date listing of all residents and assigned room numbers. Share this listing with nursing services, management, government agencies, and other authorized personnel, in compliance with privacy rules.
  • Notify nursing staff when a resident has arrived at the facility to ensure that they are escorted to their assigned room.
  • Assume administrative responsibility for performing duties related to resident admissions, including oversight of the admitting process.
  • Ensure confidentiality of all resident care information, including protected health information (PHI), and report any suspected unauthorized disclosure of information.
  • Oversee the inventory and safekeeping of residents’ valuables and ensure proper documentation or secure a "Release from Responsibility" form if applicable.
