Tesco Controls’ core business is designing and building process control systems and power solutions for municipalities and industrial clients to keep critical infrastructure operating efficiently. Job Summary:
Under moderate supervision, support the Sales Department–Transportation Division as identified below. This will include administrative tasks related to sales and estimating. These tasks may include, but are not limited to, order entry processing, purchase order/contract processing, filing, internet research, coordinating schedules, scheduling, submittal processing, customer service activities, answering/making telephone calls, and other administrative duties assigned. Provide quality customer service for customers and interdepartmental personnel. Work with other departments as needed to carry out work; seek guidance from Sales Estimators; and refer difficult items to Sales Supervisor or Sales Manager. Follow up on all tasks to facilitate the sales process, fulfill part orders, coordinate RMA requests, provide customer service, and ensure completion of work. Develop and maintain department documentation, including resource information on products, vendors, subcontractors, government requirements, etc. as necessary to perform job.
Essential Functions:
- Using subscription website services, review project information for Sales Estimating (including identifying projects/opportunities related to Company’s products and services, downloading files, organizing files on network drive structure, assimilating information, combining PDF files, printing, data logging, and project tracking)
- Copy and track bid results and bid sheets for sales meetings
- Enter sales order data into company databases
- Purchase Order/Contract processing, coordination, administration, and document management (including logging/tracking, acquiring acknowledgements/signatures, acquiring/processing insurance certificates and other required documentation, processing into documentation systems, filing into project folders, and coordinating with customer needs).
- Process requests for Insurance Certificate, Bid Bonds, and Payment/Performance Bonds, as needed.
- Log and maintain sales revenue numbers-daily, weekly, quarterly, yearly
- Create job folders for internal use
- Manage OFA/Open Order Status Reports/Vendor Statements
- Process parts request
- Process Submittals Packages, including the collecting of information, product data, drawings, and assembling them into a tabulated Submittal Packet. This involves the creation of Cover Transmittal Letters, Table of Contents, and electronic PDF books (fully bookmarked)
- Process Sales Catalog/Brochure Information Packets, including the collection of information and product data in support of sales efforts, trade shows, and customer requests. This duty also involves the management of sales collateral stock, including coordinating reorder of material through standard protocols and Marketing, stocking material in allocated storage library, and maintaining online and network files with updated content issued by Marketing
