JOB DESCRIPTION AND POSITION REQUIREMENTS:
We are searching for a detailed oriented and organized Administrative Support Assistant to join our Special Program Security Department at the Applied Research Laboratory (ARL) at Penn State University. ARL’s purpose is to research and develop innovative solutions to challenging scientific, engineering, and technology problems in support of the Navy, the Department of Defense (DoD), and the Intel Community (IC).

You will:
Provide leadership to the planning and facilitation of support activities for the Special Program Security Department
Respond to routine and moderately complex questions/issues concerning unit/University policies, processes, and procedures from internal and external contacts
Create and maintain files, databases, and reports
Monitor and maintain budgets; track expenditures
Generate, prepare, and maintain reports and spreadsheets, and authorize processing of payments
Compile and organize information to develop agendas, meeting materials, and reports
Arrange meetings; lead coordination and planning of special events, conferences, and other functions
Support the planning and coordination of moderately complex projects
Serve on various committees; prepare agendas, take and compose minutes
Develop website content and maintain web pages
May act as or support facilities coordinator and manage keys/key inventory
May assist in the supervision and training of student and assigned support staff
Serve as resource to others on a variety of subjects including office equipment, software application usage, and information processing procedures
Required skills/experience areas include:
Microsoft Office, Word, and Excel
Knowledge of standard office procedures
Preferred skills/experience areas include:
Experience with SAP Concur and SIMBA
Strong organizational skills
Strong oral, written, and interpersonal communication skills
Minimal requirements include a High School Diploma and one year of related experience for the intermediate support level.
