Administrative Assistant, Tax

As a part-time tax administrative assistant, you will work directly with the tax team to maintain an accurate client database, work with clients to collect documents, support the team and client’s administrative tasks. The successful associate will be client focused, a thoughtful listener, have a strong team mentality, and be driven to grow professionally and personally.
Responsibilities
- Preparation, collection, organization, scanning and management of client tax documents
- Maintain client files and electronic data files in a timely manner (federal and state)
- Prepare engagement letters and facilitate billing
- Present complete, timely and accurate client deliverables in an efficient manner
- Work with team to support the management of tax deliverables
- Receive, sort, and forward all incoming calls, facsimiles, USPS mail and overnight shipments to in-office recipients and remote office locations
- Create shipping labels, schedule courier services, and provide copy support as requested by various individuals of the organization
- Attend and participate in learning opportunities through associate meetings and internal resources made available through compliance, practice management, etc.
- Compliance to the Firm’s quality control standards
- Additional projects, furthering the service of clients as needed
Qualifications
- 1+ years of related experience in a professional environment
Skills and Knowledge
- Proficiency in Microsoft Office including Word, Outlook, and Excel
- Familiarity with tax software programs (XCM, BNA)
- Positive attitude toward client relations to provide exceptional, proactive client service
- Demonstrated ability to manage multiple tasks and maintain the necessary attention to detail
- Ability to work on a team while maintaining a high level of responsibility and accountability to individual projects and tasks
- Clear communicator with strong interpersonal writing and presentation skills
