Job Summary
This part-time, on call Administrative Assistant will provide flexible administrative and clerical support across Bridges to Change programs. This position serves as backup coverage for front desk operations, assists with data entry, and supports both executive leadership and program teams with a variety of administrative tasks. Scheduled hours are based on program needs and staff availability and may vary from week to week.
Essential Job Duties and Responsibilities

- Provide backup front desk coverage, including greeting and directing visitors and participants, answering phones, and performing registration duties (data entry, scheduling, insurance verification).
- Access insurance payer portals to verify client eligibility, as directed.
- Assist with scheduling, including updating and maintaining provider schedules in Care Logic.
- Assist Intake Coordinator with reminder calls and eligibility verification, as assigned.
- Perform clerical tasks such as photocopying, filing, faxing, collating, and mail distribution.
- Support administrative and executive team projects as assigned.
- Document phone calls, insurance verification, and client inquiries in Care Logic EHR.
- Provide a high level of professional service, maintaining respect for participant privacy and creating an atmosphere of dignity and safety.
- Collaborate and communicate effectively with community partners and BTC staff.
- Abide by organization policies and procedures, confidentiality laws, professional boundaries, and relevant federal/state treatment regulations and standards.

Experience, Knowledge, Skills and Abilities
The following are the minimum levels required to successfully perform the Essential Job Duties and Responsibilities.
- Computer literate: functional ability with Microsoft products, required
- Experience with administrative and clerical duties, required
- Experience with treatment participants, preferred
- GED/High School Diploma, preferred
- Spanish bilingual, strongly preferred
- Demonstrated success at working effectively in a diverse, collaborative team environment, with skills in promoting inclusion and cultural responsiveness
- Experience in collaborating with community partners to identify shortcomings in the organization and in building partnerships to improve outcomes
- Lived experience related to population being served, past probation experience, preferred
- Experience setting and maintaining clear boundaries with the ability to hold others accountable with compassion
- Excellent communication, trauma informed approach and conflict resolution skills
- Ability to maintain high professional standards at all times with participant, staff, and community partners
- Computer literate; functional ability with Microsoft programs.
