Job Description

Embry-Riddle Aeronautical University is seeking a skilled and service-oriented Administrative Assistant to join the Center for International Education. This position provides administrative support to the Assistant Provost for International Education and supports a dynamic division of 20+ staff members across five departments: International Student & Scholar Services (ISSS), International Student Engagement, the Embry-Riddle Language Institute (ERLI), the Office of Study Abroad & Global Engagement, and the Prescott Center for International Programs & Services (CIPS).

The Administrative Assistant plays a key role in maintaining the Center’s daily operations and oversees a range of responsibilities, including budget coordination (via Workday), calendar management, meeting planning, office operations, and international travel registration (VIAtravel). The position also supports the routing and recordkeeping of international academic agreements through Microsoft SharePoint and facilitates cross-campus coordination with the Prescott CIPS team, including gathering data and preparing reports. Additionally, the Administrative Assistant serves as the designated backup for front desk reception to ensure continuous and professional coverage during business hours.

Strong candidates will be highly organized, proactive, and committed to providing excellent administrative and customer service. The ideal applicant will have 1–3 years of experience supporting leadership or office operations, preferably in an academic setting, along with strong interpersonal, communication, and computer skills. This role is essential to the efficiency and visibility of the Center’s programs and services.

Qualifications

Required Qualifications:

  • High school (or GED)
  • Minimum of 1-3 years of experience providing executive level support, preferably in an academic setting
  • Analytical skills with an in depth knowledge of information systems and technical expertise with Microsoft operating systems, Excel, PowerPoint, Word, Outlook/email, and Internet end-user applications
  • Strong problem-solving and decision-making skills, initiative and teamwork
  • Demonstrated collaborative skills
