JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Pennsylvania State University Department of Physics is seeking a candidate for an Administrative Assistant - Intermediate Support. The Administrative Support Assistant will be a detail-oriented and organized individual who will provide support to faculty members with administrative and financial functions needed to run a research group. This position will perform various tasks with minimal supervision. This position will be involved in monitoring budgets, arranging and coordinating travel, processing reimbursements, assisting with lab ordering, and reconciling purchasing cards for assigned faculty members and their groups. Other administrative functions may include assisting faculty members with maintaining calendars and scheduling appointments. The successful candidate will work closely with the Eberly College of Science (ECoS) Finance Office and Research Office to facilitate processing of appropriate forms and documents. Excellent interpersonal and organizational skills are essential, along with the ability to work both independently and as a member of a team.
This position typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience.
Your job duties may include but are not limited to:
- Maintain and monitor budgets. Prepare and process various reports, orders, and financial forms through the use of SIMBA and SAP Concur.
- Create budget reports that project future income and expenditures. Monitor funds available, grant end dates, and matching funds spending.
- Monitor funds for compliance with agency and university policies and procedures. Initiate and track purchases.
- Reconcile purchasing cards for assigned faculty and group members and determine proper grants to charge.
- Work closely with financial and research offices in the Eberly College of Science.
