About the Role:
As an Administrative Assistant, you will deliver high-level administrative and strategic support to both individuals and teams. You’ll work independently to oversee projects, optimize workflows, and drive organizational effectiveness. By proactively identifying areas for improvement, you’ll address potential challenges before they arise and recommend practical, impactful solutions.
Work Mode:
At Boston Scientific, we value collaboration and synergy. This role follows a hybrid work model requiring employees to be in our local office at least three days per week.

Your responsibilities will include:
- Optimize Operations: Manage scheduling, coordinate meetings, and organize travel while ensuring seamless expense reporting and resource allocation.
- Strategic Project Coordination: Anticipate project needs, gather data, and drive the completion of initiatives on schedule.
- Technology Enablement: Serve as a key technology resource, proficiently utilizing tools such as Microsoft Office Suite, SharePoint, Microsoft Teams, and AI applications to improve productivity.
- Information Management: Handle sensitive data with discretion and provide guidance on proprietary information. Acts as an informed source on company policies and procedures by answering routine questions or routing to appropriate employees for answers.
- External Customer and Stakeholder Engagement: Facilitate communication and planning for events such as innovation centers, advisory boards, tradeshows, and conferences.
- Process Maintenance: Partner with team to ensure seamless personal changes and resources for CA new hires.
- Content Development: Create and refine high-quality communications (e.g., presentations, memos) with attention to clarity, logic, and impact.
- Event Planning: Lead the coordination and execution of meetings, team engagements, and staff events including but not limited to ordering audio-visual equipment and working with facilities to ensure proper room configurations.
- Other: Willingness to be flexible, assume additional responsibilities and complete as hoc projects as required.
Required qualifications:
- High School Diploma
- A minimum of 5 years of experience in administrative or related roles.
- Advanced proficiency in Concur, Microsoft Office Suite and experience with SharePoint, Microsoft Teams, and collaborative technology tools.
- Strong organizational and multitasking skills with the ability to manage priorities independently and proactively.
- Keen sense of responsibility, urgency, and attention to detail.
- Excellent customer-facing skills and business maturity to interface with internal and external customers.
- Excellent written and verbal communication abilities.
- Occasional travel required.
