Job Description

 SUMMARY

The Administrative Assistant supports office operations by managing timekeeping records, assisting with basic accounting tasks, maintaining office supplies and equipment, and coordinating events or training. This role oversees maintenance requests, organizes events, drafts documents, and prepares reports to ensure communication and compliance. Focused on organization and problem-solving, the Administrative Assistant fosters a productive workplace.

 

RESPONSIBILITIES:

  • Perform receptionist duties, including answering and directing phone calls and greeting visitors.
  • Collaborate with HR and payroll teams to maintain accurate employee time/activities and attendance records using timekeeping systems (e.g., UKG).
  • Address employee and manager inquiries regarding timekeeping, resolve discrepancies, and generate/distribute reports.
  • Assist with onboarding and employee training by preparing materials and scheduling sessions.
  • Maintain and organize files, reporting, and internal communications to ensure data accuracy and compliance.
  • Draft and distribute professional documents, coordinate mailings, and prepare presentation materials.
  • Manage office equipment and inventory by restocking supplies, placing orders, and ensuring functionality.
  • Oversee office maintenance requests by coordinating tracking, scheduling, and communicating updates with relevant teams.
  • Perform basic accounting-related tasks, including invoicing, billing, and report reconciliation.
  • Plan and coordinate employee and team events, including logistics, schedules, and communication, to ensure seamless execution.
  • Perform other duties as assigned.

EDUCATION | EXPERIENCE

  • High School Diploma or Equivalent
  • Associate degree in Business Administration or related field (preferred)
  • 3-5 years of administrative experience, including working with timekeeping systems such as UKG, Kronos, or similar required
  • Experience coordinating events or managing team activities
  • Basic accounting knowledge or experience
  • Proficiency in Spanish is a plus for effective communication with diverse teams
  • Any combination of relevant education and/or experience demonstrating proficiency in the essential functions of the role
  • Eligible to work in the United States

KNOWLEDGE | SKILLS | COMPETENCIES

  • Proficient in tools like timekeeping systems (e.g., UKG, Kronos) and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Effective communicator with the ability to collaborate closely with teams, managers, and stakeholders.
  • Strong organizational skills and attention to detail for managing records, events, and office operations.
  • Analytical and problem-solving abilities with a proactive approach to administrative support.
  • Adaptability to fast-paced construction environments and a willingness to learn new processes and tools.

WORK ENVIRONMENT

  • Work will be conducted in an office environment with a controlled climate, involving standard office equipment and tasks, and requires a professional demeanor and effective communication with colleagues.
  • Occasional travel to construction sites is required.
  • Regular, full-time, predictable onsite attendance is an essential function of this role.

PHYSICAL REQUIREMENTS

  • Ability to sit for extended periods and use a computer, including repetitive hand and wrist movements.
  • Proficiency in handling office equipment and moving around the office.
  • Ability to lift and carry up to 20 pounds.
  • Good visual acuity for reading screens and documents.
