We are seeking a talented Administrative Assistant II to join our team of nearly 500 employees. The Administrative Assistant II supports administrative tasks to ensure efficient operations for the NYS Trauma Informed Network and Resource Center (TINRC) grant funded by the NYS Office of Mental Health. This role supports the network through high-level event, training, and meeting coordination; logistical planning and implementation; document/file management; conducting basic research; document formatting and design; and management of deliverables in a software system using Microsoft and other tools.
CCSI is partnering with the NYS Trauma Informed Network and Resource Center (TINRC) to hire an Administrative Assistant II.
In this role, you will
- Coordinate logistics of TINRC trainings, events, meetings, etc., including managing registration, set-up, break-down, and payments.
- Communicate in a timely manner with new and existing TINRC partners and participants regarding TINRC inquiries through NYS TINRC email.
- Maintain inventory and organization of TINRC training materials in collaboration with staff, and manage translation of materials through vendor.
- Use various learning technologies to schedule, host, and execute online, hybrid, and in-person learning events and trainings.
- Facilitation of CE process including registration, tracking, evaluation surveys, record keeping and certificate distribution.
- Assist with preparation of materials including copying, organizing, packing and/or shipping for on-site learning experiences held in non-CCSI locations.
- Work collaboratively with TINRC staff for timely initiative marketing or email correspondence.
- Coordinate training logistics for TINRC staff and support travel arrangements and other logistics for events and trainings in coordination with pertinent staff, as needed.
- Coordinate conference logistics in collaboration with staff and marketing and communication firm.
- Provide support for special projects and initiatives as needed.
- Perform other duties as assigned.
Requirements
What You Bring
- Associate’s degree or equivalent experience, or relevant field of study, or equivalent education and work experience (see CCSI's equivalency chart)
- Minimum of 3 years of experience managing multiple and simultaneous events and training projects.
Required for this position are:
- Satisfactory completion of all required background screenings.
- Valid Class D NYS Driver License to travel as needed for company business
