About the role
Summary
The PA II for Property Control provides administrative support for the Director of Auxiliary Services and the Property Control Department. The PA II processes procurement requisitions and supports inventory records management. The Incumbent in this position performs general office duties including , record and file maintenance, mail distribution, and telephone reception. Interacts with external and internal customers on behalf of the supervisor.
Essential Duties
- Processes procurement requisitions, accurately and timely, including identifying errors and resolving corrections needed to proceed with processing
- Maintains established office files and records in accordance with internal procedures
- Receives and refers telephone calls and main contact for visitors
- Responds to routine questions and refers more complex requests to appropriate staff members
- Drafts and types of routine letters, reports and memoranda from specific instructions
- Assembles relevant data, and compiles statistics and information from identified sources using software programs
- Produces a variety of correspondence and reports using a PC and software for storing, retrieving, formatting and integrating data
- Utilizes school system software applications
- Interacts with customers, suppliers and employees outside of the department on behalf of the supervisor
- Maintains appointment calendars
- Assists with sorting and inventorying physical materials in support of property control, textbooks and warehouse functions
- Undertakes projects as assigned to support office functions
- Performs other duties as assigned by the appropriate administrator
Required Education
High School Diploma or GEDCertification/Licensure
None requiredExperience Qualifications
Minimum of 2 years clerical/administrative experience required
Knowledge/Skills/Abilities
- Knowledgeable in SAP/S4 Procurement System
- Proficient in Microsoft Office
- Ability to handle confidential information
- Ability to compose and compile correspondence from a variety of sources
- Must be able to work with minimal supervision
- Must be detailed and task oriented
- Ability to work with physical and digital information and document control systems in accordance with established procedures
- Excellent organizational skills and customer service skills
