Purpose
Responsible for planning and executing all recruiting events, ensuring smooth operations and seamless coordination with various stakeholders. Responsible for facilitating meaningful connections between students and employers, contributing to the overall success of the College of Natural Sciences Career Services office and the University of Texas at Austin community. To advance our core mission of fostering wellness, belonging, and success for all students.
Responsibilities
- Event Planning: Coordinates all aspects of recruiting events, including career fairs, networking events, information sessions, on-campus interviews, and various other employer presentations, ensuring alignment with the objectives of both students and employers.
- Employer Support: Reviews and approves employer registration for recruiting events, providing timely communication of event details and logistics to registered employers and addressing inquiries or concerns they may have. Serves as the primary point of contact for employers participating in recruiting events, responding promptly to inquiries regarding event logistics, job postings, recruiting opportunities, and other related matters, while providing exceptional service to all stakeholders.
- Employer Outreach and Marketing: Provide research and recruitment data to the Director for the development of an outreach program to attract employers that are the best match for the CNS undergraduate population. Collaborate with the director in engagement with corporate recruiters to recommend strategies to help meet recruitment goals and objectives.
- Financial and Data Management: Collects payments from participating employers, processes invoices, and reconciles event-related expenses, maintaining accurate financial records and adhering to budgetary constraints. Maintains databases and systems to track employer and vendor contact information, event registrations, payments, and attendee information, generating reports as needed to evaluate event success and identify areas for improvement.
- Vendor and Contract Management: Solicits bids from vendors, negotiates contracts, and places orders for event-related services and materials, while maintaining strong relationships to ensure timely delivery and high-quality services. Independently maps booths for in-person career fairs. Reviews, communicates with vendors, and executes contracts in conjunction with Business Contracts with vendors and service providers in compliance with university policies and procedures, ensuring alignment with the needs of the Career Services office and its stakeholders.
- Other duties as assigned, including supporting special projects and staffing events within CNS.
Required Qualifications
Bachelor’s Degree and at least 3 years experience coordinating or administering a program. Accuracy and attention to detail, decision making and critical thinking. Effective written and oral communication. Initiative, interpersonal relationships, problem solving, service excellence, and database and Excel experience.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
Demonstrated experience working in higher education career services or corporate recruiting.
Salary Range
$51,700 + depending on qualifications
