Job Summary:
Provides administrative support to the Chief Operating Officer. Exercises excellent problem solving and judgment skills in a fast paced environment. Utilizes professional concepts and hospital objectives to resolve complex issues in a creative and effective manner utilizing in-depth knowledge of hospital operations, policies, and procedures. Maintains details of a highly confidential nature. Maintains calendars, schedules appointments, provides clerical support, and coordinates travel plans. Coordinates and provides meeting minutes for various meetings including Finance and Audit Committees under the leadership of the COO. Maintains financial records for Administration, including the budget, expenses, and reconciliation of monthly reports.
Education:
- High School Diploma or GED General Studies Required
- Associates Business Administration or related field Preferred
Experience
- 5+ years Executive Administrative Support Required
Job Specific Duties
General Office Coordination Oversees all aspects of general office coordination including but not limited to invoicing, copying, faxing, mailing, filing and maintaining office calendar to coordinate work flow and meetings. Monitors the work environment to ensure efficient operation and general functioning of administrative office to assure smooth work flow, including coverage during absences.
Board Committee Support Arranges Finance, Audit and Investment Committee meetings. Collates agenda packets and sends to Committee members. Records minutes at each meeting and maintains electronic files.
Customer Focus Works to assure prompt response and question resolution from Board of Trustees, Administrative Staff, Medical Staff, hospital staff, and visitors. Facilitates resolution of customer concerns (patient, hospital staff, and medical staff) by timely referral to appropriate individuals.
Communication Facilitates communications (telephone calls, messages, etc.) to Chief Operatingl Officer efficiently, with appropriate processing to others as needed.
Documentation Creates and modifies documents such as invoices, reports, memos, letters and financial statements using Microsoft Office and/or other presentation software. Maintains records for office of Chief Operating Officer to provide readily accessible and accurate information resources.
Confidentiality Maintains confidentiality in all aspects of patient, visitor, staff and organizational information. Ensures confidentiality of written and verbal communications
Meetings & Travel Makes necessary arrangements for meetings, special functions, and travel accurately and efficiently. Prepares all necessary materials for meetings and special events, as requested and disperses business materials to the appropriate recipients. Records minutes at each meeting and maintains electronic files.
Scheduling Maintains calendars and schedules appointments for the Chief Operating Officer to ensure smooth work flow. Arranges and records Finance and Value Team meeting minutes.
