Executive Assistant & Executive Operations Partner

The Executive Assistant & Executive Operations Partner serves as a force multiplier to the CEO and executive team. This role extends far beyond traditional administrative support. It is responsible for creating clarity in ambiguity, building operational infrastructure around key initiatives, and ensuring seamless execution across a fully remote, globally distributed leadership team.

The CEO is on the road approximately 75 percent of the time, and the executive team operates across multiple time zones. This role is critical to maintaining alignment, execution discipline, and continuity. The individual in this position must anticipate needs, manage complexity, and drive operational follow through at the highest level.

This role reports to the CEO and provides primary support to the CEO, with direct support to the CFO and CPO as needed.

Role Impact

This position enables the CEO and executive team to operate at full strategic capacity by:

  • Creating structure around priorities and cross functional initiatives

  • Driving accountability and follow through across leadership

  • Supporting board and investor engagement

  • Translating ambiguity into clear plans and execution rhythms

  • Ensuring continuity when executives are traveling or operating asynchronously

Key Responsibilities:

Executive Partnership & Strategic Support

  • Manage complex, multi time zone calendar planning that reflects company priorities and protects executive focus

  • Prepare briefing materials for board meetings, investor conversations, leadership offsites, and critical stakeholder engagements

  • Track executive level priorities and initiatives, ensuring milestones and commitments are visible and progressing

  • Create and maintain operating cadences, dashboards, and project tracking systems to support strategic initiatives

  • Draft and refine executive communications, presentations, and internal updates

  • Anticipate bottlenecks and proactively remove friction in decision making and execution

  • Serve as a connective tissue across the executive team, ensuring alignment and information flow

Board & External Engagement Support

  • Coordinate board meeting logistics, materials distribution, and follow up tracking

  • Partner with Finance and leadership to ensure board materials are accurate and delivered on schedule

  • Track board level action items and ensure follow through

Project Infrastructure & Operationalization

  • Build lightweight but effective systems to track key company initiatives

  • Translate high level goals into structured timelines and accountability mechanisms

  • Identify process gaps and create simple operating frameworks to improve execution

  • Support cross functional projects that require executive oversight

Travel & Logistics

  • Coordinate complex travel schedules with tight transitions and high stakes meetings

  • Develop detailed itineraries and contingency plans

  • Ensure continuity of communication while executives are traveling

Expense & Administrative Management

  • Oversee expense processing, purchase orders, and executive related financial tracking

  • Maintain disciplined organization of documents, contracts, and sensitive materials
