Job Overview
The Seasonal Production Operations Coordinator reports to the Production Operations team, coordinating operational plans and logistics for the Macy’s Thanksgiving Day Parade and other iconic Macy’s events, while also managing administrative tasks.
What You Will Do
- Coordinate various aspects of each event, including vendor bookings, trucking logistics, hotel and travel arrangements, security planning, and onsite day-of event support.
- Compile documents for production meetings, staff and volunteers. Manage database and records for volunteers.
- Manage production timeline and approval process of print and operational materials such as signage and promotional items.
- Coordinate pre-parade events, such as trainings and meetings, and provide on-site support for event needs.
- Provide general support during events, including crowd control, moving barricades, setting up signage, and supporting staff and crew.
- Update operational reports, create purchase orders, and maintain budget spreadsheets.
- Support the administrative functions of the Production Operations team, including printing, shipping, and acting as the point of contact for office technical and facility needs. Ensure supplies are ordered and maintenance requests are placed as necessary.
- Assist with event ticketing and credential strategies, including allocations, printing, and distribution.
- Assist in the production of other Macy's Studios events as needed.
- Other duties as assigned.
Skills You Will Need
Event Coordination: Ability to manage and coordinate various aspects of events, such as vendor bookings, logistics, security planning, and on-site support, ensuring smooth execution.
Administrative Support: Strong organizational skills to handle administrative tasks, including updating reports, creating purchase orders, managing databases, and maintaining budget spreadsheets.
Communication Skills: Excellent verbal and written communication skills, enabling effective collaboration with internal teams, vendors, and external partners.
Customer Service: Strong interpersonal skills with a focus on providing excellent customer service, maintaining a professional image, and upholding Macy's brand values.
Multitasking and Time Management: Ability to multitask and prioritize in a fast-paced environment, handling multiple responsibilities and working cross-functionally with various business partners.
Independence and Initiative: Capability to work independently with minimal supervision, taking initiative and managing tasks proactively.
Technical Proficiency: Competency in computer skills, including data entry, database management (e.g., FileMaker Pro, Airtable), and phone etiquette.
Attention to Detail: Strong attention to detail in preparing documents, managing records, and ensuring accuracy in all tasks.
Who You Are
- Candidates with a bachelor’s degree or equivalent work experience in a related field are encouraged to apply. 1-3 years of event coordination or related field experience. Production management experience is a plus.
- This position requires heavy lifting, constant moving, standing, and reaching with arms and hands. Involves standing for at least two consecutive hours, lifting at least 35 lbs. stooping, kneeling, crouching, and climbing ladders. May involve reaching above eye level. Requires close vision, color vision, depth perception, and focus adjustment.
- Able to work a flexible schedule, including days, evenings, weekends, and holidays, based on department and company needs. Must be available to work flexible work hours during the month of November and available to work all of Thanksgiving week.
