The Accounting Specialist (Data Entry) is responsible for supporting on-site accounting and administrative functions in accordance with company procedures and internal control principles, while ensuring confidentiality and security. This role is crucial for maintaining the financial health and accuracy of our operations; in addition to handling administrative tasks.Job Description:
ESSENTIAL FUNCTIONS - ACCOUNTING
- Process bank deposits and oversee other cash handling, cash handling training and safe duties.
- Handle purchase orders based on requests from the purchasing manager.
- Perform daily accounting tasks, including accounts payable and accounts receivable.
- Oversee guest refund requests.
- Mange tip audits and logs for the food and beverage department.
- Handle confidential information related to payroll and accounting.
- Maintain and reconcile various reports ensuring accurate record-keeping.
- Ensure timely completion of all transactions.
- Maintain accurate and organized financial records, ensuring all documentation is securely stored and easily retrievable.
- Maintain accounting e-mail and distribute invoices to proper managers.
- Comply with accounting standards, regulations, and internal controls.
- Support the Property Controller as needed and take on additional responsibilities to assist the finance team.
ESSENTIAL FUNCTIONS – ADMINISTRATION
- Retrieve, sort, and distribute incoming mail.
- Handle outgoing mail requests from various departments.
- Manage gift card operations through the webstore and on site.
- Perform standard office functions, including ordering office supplies and handling phone calls by receiving, referring, or answering them.
- Provide administrative support to the department as directed by the Property Controller.
- Assist the Property Controller while maintaining POS operation when requested.
SKILLS AND KNOWEDGE REQUIREMENTS INCLUDE
- Associate’s Degree or equivalent in accounting.
- Previous experience of employment in accounting or related field, preferred.
- Strong knowledge of accounting principles and practices.
- Excellent analytical and problem-solving skills.
- High level of accuracy and attention to detail.
- Strong organizational and time management skills.
- Capacity to manage multiple tasks and meet deadlines.
- Outstanding communication and interpersonal skills.
- Proficient in routine office management and clerical tasks; including typing, filing, record maintenance, and multitasking.
- Proficiency in MS Word, Excel, Power Point required. Sage Intacct is preferred.
- Demonstrated ability to interact effectively with diverse individuals, a willingness to learn new skills, and the capacity to solve problems and coordinate schedules.
PHYSICAL AND MENTAL REQUIREMENTS
- Ability to sit at a desk in front of a computer and monitor phones for extended amounts of time for up to 8 hours a day.
- Ability to travel between locations at the resort. Valid drivers license required.
- Ability to push, pull, and lift up to 25 lbs.
- Reading and writing work-related documents in English.
- Constantly communicates and receives verbal communication with other employees.
- Accounting knowledge.
- Speech recognition and clarity, including the ability to understand the speech of customers and co-workers, and the ability to speak clearly in English to ensure understanding by customers and co-workers.
- Physical presence at the job site is essential to perform job duties.
- Ability to work extended hours and weekends when required.
