Accounts Payable Clerk

Position Overview

The Accounts Payable Clerk is responsible for various tasks related to the receipt, preparation, and scanning of accounts payable documents through the front-end imaging system. Other duties include processing entries directly to the financial system via data entry or upload in accordance with business procedures, monitoring and reporting backlog, special check distribution, and document research.

Responsibilities

• Open and sort USPS mail sent to the department. Print, sort, prepare, and scan non-EDI documents sent to A/P electronically by vendors and retail bookstores. Monitor and report backlog to A/P management. Strategize workload and manage priority requests, handle rescanning of documents, and import of files for Canadian stores. Route vendor statements to A/P representatives.
• Handle accurate upload of transactions submitted by the A/P department for the purpose of exception processing and correction. Ensure submissions meet approval criteria and communicate to resolve issues. Perform data entry tasks accurately.
• Monitor special requests for check distribution, including preparation of overnight mailings. Perform document research and other tasks as assigned.

Qualifications

• High School diploma or equivalent.
• Ability to organize and prioritize workload.
• Strong communication skills.
• Detailed oriented.
• Knowledge of office applications such as Excel, Word, and Outlook is a plus.
• Must be able to lift 25 pounds.
