Position Summary: The Accounting & Payroll Specialist is responsible for completing bank reconciliation, reconciling subsidiary ledgers, fixed assets, prepaid expenses, payroll & benefits accounting and processing the agency’s bi-weekly payroll. This position provides support for Accounts Payable processes and supports other Finance Office staff as needed.
Essential Duties and Responsibilities:
Accounting:
- Maintain the agency fixed asset sub-ledgers, including but not limited to preparing depreciation entries;
- Maintain agency prepaid expense asset sub-ledgers, including but not limited to preparing amortization entries;
- Maintain agency investment account sub-ledgers including but not limited to preparing periodic accounting entries;
- Prepare individual work and other projects for GL reconciliation;
- Maintains Accounts Payable vendor payment files;
- Works collaboratively with the grants department to provide administrative support and documentation as needed.
- Prepare and process outgoing payments supporting Accounts Payables functions, including but not limited to maintaining records of Purchase Order, coding all invoices for payment to proper GL accounts, processing invoices for payment in AP software, preparing checks for payment and maintaining controls over unused checks, and performing bank and credit card reconciliations;
- Complete special projects and tasks as directed for Finance Office;
- Other duties as assigned.
Payroll:
- Coordinate the process associated with Paylocity data entry;
- Complete the bi-weekly payroll run, including but not limited to investigating time sheets as necessary, computing wages and deductions accurately, maintaining payroll records, monitor General Ledger (GL) entries associated with payroll;
- Reconcile quarterly payroll tax returns and other payroll tax requirements
- Work with Managers to ensure timecards are accurate and train as managers on payroll responsibilities needed.
- Communicate with Human Resources Department to ensure timely and accurate Payroll records;
- Perform other duties as may be assigned.
Requirements
Physical Requirements:
- Ability to lift 15 pounds.
- Lengthy periods of sitting/standing at a desk and working on a computer.
Minimum Qualifications:
- Associate’s Degree in Accounting, Finance or related business program.
- 3 to 5 years relevant experience.
- Must have proficient experience with excel.
- Must have proficient math and organizational skills.
- Must have general knowledge of PC systems and spreadsheet software.
Preferred Qualifications:
- Bachelor’s Degree in Accounting, Finance or related business program.
- Knowledge of Paylocity
- Knowledge of QuickBooks.
