About the role
Coastal Pacific Food Distributors (CPFD) is currently seeking a Sr. HR and Payroll Administrator in our Ontario, CA location. The position is responsible for the accurate execution of payroll processes, maintenance of employment and HR records, processing of weekly in-house payroll, maintaining HR records, and compliance with employment regulations. This role supports essential HR functions such as recruiting, onboarding, and leave management. Serving as a trusted point of contact for associates and leadership, this position also contributes to continuous process improvements and policy implementation.Compensation and Benefits:
- Annual salary range: $75,000 to $85,000

- Manage and communicate the company’s leave tracking program, coordinating with associates, HR Managers, and Operations team.
- Lead or support employee programs, including new hire orientation, and benefits training.
- Assist with employment verifications, open enrollment meetings, and service awards.
- Provide assistance to HR Manager in screening job applicants and coordinating candidate information with hiring managers.
- Support the Payroll team with projects including garnishment processing, reconciliations, spreadsheet management, data input, and timekeeping audits.
- Prepare and process payroll in accordance with established deadlines.
- Manage weekly in-house payroll, including timecard audits, pre-payroll transmission audits, and payroll balancing.
- Audit new hire data, process employee changes, and handle terminations.
- Ensure wage and PTO processing complies with company policies and regulations.
- Prepare and transmit federal, state, and local tax funding files.
- Respond to, enter, and maintain garnishments, ensuring compliance with legal requirements.
- Research and resolve complex payroll issues to ensure accurate processing.
- Process various employee reimbursements (incentives, union, health waivers) accurately and on time.
- Assist with account reconciliations and other payroll controls such as balancing payroll results to payroll tax returns and to year-end Form w2 statements.
- Coordinate with accounting, banks, and external agencies on payroll policies, interpretation, pay computations, direct deposits.
- Process special pay cycles, such as bonuses.
- Handle on-demand check processing with accuracy and timeliness.
- Stay informed on legal and policy changes, including labor laws, union contracts, and internal SOPs.
- Upload HR and payroll documents to appropriate systems in a timely manner.
- Perform other related duties as required to support department operations.
- Bachelor’s degree in Human Resources, Finance, Business, or related field required. Equivalent experience (3+ years) in lieu of formal education may be considered.
- FPC or CPP certification preferred.
- Spanish language proficiency is a plus.
- Minimum 5 years of progressive HR and payroll experience, with preference for union environment.
- At least 2 years of supervisory or management experience required.
- HR Certifications (PHR, SPHR, SHRM-CP/SCP)
- Advanced Excel skills
- Experience with UKG software
- Familiarity with employment laws including Family Medical Leave Act, the Fair Labor Standards Act, the Americans with Disabilities Act, various leave laws, and anti-discrimination laws.
- Intermediate to advanced proficiency in MS Excel, Word, and PowerPoint.
- Knowledge of HRIS and payroll systems, reporting, and data processing.
- Excellent oral and written communication skills with the ability to engage effectively across all levels of management and staff.
