Summary of Job Description
The Systems Engineering Division (SED) of the Aerospace Corporation provides unmatched experience in systems engineering to the U.S. government and to numerous public and private agencies, universities, nonprofit organizations, consortia, and commercial companies involved in the advanced application of space technology. From systems architecture development to system analysis and optimization, astrodynamics, orbital debris, navigation, failure analysis, mission assurance, cost and schedule assessment, and economic market analysis, SED exploits an incredibly broad array of engineering and business disciplines against a diverse and dynamic portfolio of programs and national challenges.
We are seeking an Administrative Specialist who performs a wide variety of administrative and operational tasks as part of a collaborative administrative support team for the System Analysis and Simulation Subdivision and other Engineering and Technology Group personnel located in Colorado Springs, CO. This effective individual executes tasks, processes, and procedures efficiently while working closely with leaders, colleagues, and customers across the enterprise.
This is a full-time, on-site position based in Colorado Springs, CO with occasional telecommuting opportunities based on the needs and priorities of the organization.
What You’ll Be Doing
- Support the onsite planning and execution of meeting and events
- Book travel and process various types of expense reports
- Execute onsite coordination and onboarding activities for new hires
- Submit equipment and supply purchase requests
- Coordinate visit requests for secure onsite facilities
- Manage office equipment, including inventory tracking
- Assist technical staff in generating reports and documents
- Collaborate with other administrative specialists across the corporation to achieve coverage and increase organizational efficiencies
- Other administrative duties as required to support management and/or organization needs
What You Need to be Successful
- High School Diploma, GED or equivalent
- Fundamental administrative skills: strategic execution of tasks, organization, detail-oriented, writing, and proofreading
- Technology fluency across a wide range of tools and platforms such as Microsoft Office applications and collaborative meeting tools such as Teams and Zoom
- Fundamental communication and interpersonal skills: collaboration, resiliency, problem-solving, emotional intelligence, judgment, and taking the initiative when needed
- Ability to appropriately handle sensitive corporate and personnel information
- Ability to work independently and/or cooperatively with a team to deliver innovative solutions and resolve issues
- Ability to obtain and maintain a TS//SCI security clearance, which is issued by the US government (U.S citizenship is required to obtain a security clearance)
How You Can Stand Out
- Prior experience as an administrative specialist or similar role
- Familiarity with enterprise software packages such as Concur, Workday, JIRA, Tableau and Confluence
- Familiarity with Aerospace corporate organizational structures, policies, processes, and practices
- Ability and desire to mentor and advise both early career administrative and technical staff on good business and corporate practices
- Experience with classified data handling
- Current SSBI and/or TS//SCI security clearance, which is issued by the U.S. government
