IREX seeks a Program Coordinator for its Leadership Practice to provide support to the Community Engagement Exchange and Community Solutions Programs, professional fellowships and leadership development programs funded by the U.S. Department of State. Participants from over 100 countries complete a three- or four-month practicum and leadership development course in the United States before returning home to implement community development projects. The Program Associate will support all aspects of the program lifecycle with a particular focus on alumni engagement activities and recruitment and selection of program participants.

Your Background & Skills

  • Bachelor’s Degree
  • 2+ years of relevant experience
  • Demonstrated commitment to international education or professional development programming
  • Excellent communication skills
  • Strong interpersonal skills and networking ability
  • High level of intercultural competence
  • Excellent attention to detail
  • Excellent organizational skills and ability to adhere to strict deadlines.
  • Excellent computer skills, including basic proficiency in the full Microsoft Office Suite.
  • Experience advising or providing formal support to international students, scholars, or fellows.
  • Experience calmly and professionally responding to emergency situations, including coordinating an immediate response, documenting actions and outcomes, and escalating as appropriate.
  • Experience designing and/or delivering pre-departure orientation, orientation, and/or re-entry resources and/or events for international travelers.
  • Experience coordinating a high volume of logistical details such as flight bookings, hotel reservations, or stipend payments.
  • Experience studying, working, or volunteering internationally or with an international organization.
  • Skills in conflict resolution, mediation, dialogue, trauma-informed care, and/or mental health first aid.
  • Experience using Outlook, Canvas, Salesforce, Formstack, and formulas in Microsoft Excel.
  • Familiarity with the culture or language of one or more countries eligible for the Community Engagement Exchange and/or Community Solutions Programs.
  • You must have unrestricted authorization to work in the United States.

Your Daily Tasks

  • Support the implementation of large alumni engagement activities such as reciprocal exchanges and CEE’s Innovation Hubs and independently manage small alumni engagement activities.
  • Support the recruitment and selection of program participants, including CEE and CSP fellows as well as CEE specialists.
  • Advise fellows and partners, keep notes of all substantial communications, and resolve or escalate any challenges in a timely manner.
  • Coordinate event logistics and make travel bookings.
  • Maintain accurate and comprehensive records in Salesforce and other platforms.
  • Write sections of internal/external reports, presentations, and other products.
  • Assist with financial tracking, procurement, stipend and honorarium payment processing, and credit card reconciliation.
  • Advise program participants and liaise with host organization representatives and volunteers.
  • Represent the program to external partners during phone calls, in-person engagements, and virtual meetings and events.
  • Serve as an active connector for the programs’ network of participants, alumni, hosts, and volunteers.
  • Facilitate portions of workshops or trainings.
  • Write sections of internal/external reports, presentations, and other products.
  • Manage program email inboxes.
  • Engage and build relationships with partners and vendors.
  • Contribute to proposal components as requested.
  • Collaborate with team members and offer support.
  • Contribute to a positive and inclusive team culture.
  • Actively participate in IREX and Leadership Practice events, volunteering occasionally to participate on committees.
  • Other duties as assigned.
