Job Description

The Oklahoma History Center (OHC) houses the Oklahoma Historical Society’s (OHS) administration as well as the agency’s offices of State Historic Preservation Office, Museums & Sites, Research Division, and the Oklahoma Museum of History (OMH). The OHS is an agency of the State of Oklahoma and a private membership organization governed by a Board of Directors.

The mission of the Oklahoma Historical Society is to collect, preserve, and share the history and culture of the state of Oklahoma and its people. The OHS was founded on May 27, 1893, by members of the Territorial Press Association. In 1918 the OHS was relocated to the State Capitol, and in 1930 moved to the Wiley Post building. In 2005 came the opening of the Oklahoma History Center in Oklahoma City. Over the years the OHS has developed numerous collections, programs, research centers, museums, historic homes, and military sites across the state.

About the Role

The OHC Events Coordinator will be a member of a cross-functional team and assist in all day-to-day operations of the Events staff located inside the Oklahoma History Center. This position will report to the OHC Events Supervisor. This role focuses on ensuring the Events team provides an exceptional customer service experience through events. The Events Coordinator establishes and promotes a visitor experience consistent with the mission of the Oklahoma Historical Society.

The ideal candidate will possess a college degree in a relevant field or 3+ years of progressive experience in Event management, sales, or the hospitality industry. The Events Coordinator must have strong interpersonal skills and be a team player with the ability to work effectively with staff and stakeholders. This position is customer service centric.

Requirements

  • Strong interpersonal skills and excellent written and verbal communication
  • Fluency in event systems
  • Extensive experience and ability interacting tactfully with large and diverse groups
  • Customer-centric mindset that provides support to patrons and troubleshoots potential issues
  • Experience with Microsoft Office and Eventpro preferred
  • Interest in Oklahoma history
  • Ability to foster teamwork, work cooperatively with others

Responsibilities

  • Ability to coordinate events during normal operations and after-hours events
  • Follows OHS and state financial policies and rules
  • Organizing and promoting sale events
  • Troubleshoots AV/IT equipment and assists with replacement, update and new equipment purchase and installation
  • Acts as support for the coordinating committee member for all OHC/OHS sponsored events, schedules dates, attends meetings, selects catering, floor plans, décor, AV/IT and other necessary components as requested
  • Monitor all office supplies, display supplies, equipment, and fixtures
  • Provide a high level of customer service both in-person and through email and phone calls.
  • Strives to continually improve the standards of the visitor experience
  • Collaborates with other OHC departments to ensure Event staff have a baseline level of knowledge of OHC departments, special events, exhibit interpretations, and security protocols.

Working Conditions

Physical requirements include stooping, kneeling, bending, standing, squatting/crouching, crawling, pushing/pulling, climbing (including ladders), reaching above the shoulders and lifting up to 40 lbs. Lifting and transporting of moderately heavy objects, such as boxes of may be required.

Education and Experience

College degree in relevant field or 2+ years of progressive experience in event management, sales, or the hospitality industry
