About the role

POSITION OVERVIEW

The IT Portfolio Management Manager is a member of the IT Agile PMO Office and will be responsible with the direction/guidance of the Senior Director of IT Portfolio Management to manage the NBME IT Integrated Planning processes and Agile practices. The role will focus on performing duties around Enterprise and IT intake, Cross-Team Quarterly Planning, Monthly Leadership Action Team (LAT), Point of Contact and SME on the Enterprise Portfolio Management system, CoEs coordination and management, point of contact for both IT and business partners across the enterprise, and coordinate activities across the IT Integrated processes, support the evolution of Agile practices, secondary Jira Admin expertise/support, augment any scrum master roles needed outside of the product engineering teams, and management of cross-team scale retrospective activities.

The IT Portfolio Management and Agile Practice is a critical leadership function in IT in that it orchestrates, facilitates, and coordinates across the organization the intake and planning of close to at any given time approx. 100 concurrent business and IT-specific initiatives for the organization. This function serves as a central hub and provides leadership not just within the 23+ teams in IT but across all business divisions at NBME in facilitating initiatives through IT and resolving issues and impediments that impact the ability to deliver on the work for the company.

In addition, this function manages and provides leadership to Scrum Master CoE, IT Project Manager CoE, Product Owner CoE, and overall Agile CoE. Moreover, this unit works closely with OSM on overarching enterprise strategic work and has provided leadership and helped develop the Enterprise Intake process tool as well as bring in the Enterprise Portfolio Management system which will help change the paradigm in which initiatives, portfolios, and programs are tracked in the organization.

RESPONSIBILITIES

  • Manage day-to-day activities of Planning Process
  • Support Agile Practices, Growth and Evolution
  • Ensures Agile practices and methodologies are clear and are adhered to by IT teams
  • Builds capabilities supporting new ways of working, and the use of Agile practices across the organization and establishes Agile learning programs that help enable teams and new practitioners
  • Acts as a secondary Jira Admin expert to support agile teams on the use of tools and enhancements needed
  • Augment any scrum master roles needed outside of the product engineering teams
  • Management of IT cross-team scale retrospective activities
  • Regularly reviews and evaluates opportunities to improve the portfolio management and agile best practices in order to achieve higher maturity including soliciting feedback from teams
  • Supports Agile Related CoEs including but not limited to the Scrum Master CoE, IT Project Management CoE, Product Owner
  • Governance & Portfolio Management support to provide ongoing governance structure in ensuring accountability, transparency and predictability of the outcomes of each initiative
  • Manages centralized processes such as scheduling, estimating, costing, project accounting, risk assessment, and etc.
  • Facilitates initiative prioritization, constraint resolution, and initiative approval decision-making
  • Manages the enterprise portfolio management source systems for tracking and cross-comparison of IT initiatives
  • Ensures documentation to support scope tradeoff decisions is clear and accurate.
  • Facilitates scope tradeoff decision making and communicates decisions to impacted stakeholders
  • Facilitates meetings and ceremonies to develop plans and prioritization by leadership and governance
  • Conducts initiative reviews to ensure consistency and performance
  • Ensures scope tradeoffs, timeline, and budgets are adhered to for initiatives by tracking and keeping stakeholders aware of red flags, issues, risks, and opportunities to respond to change
