General Summary: The Project Coordinator assists in the execution of projects and project related work, contributing value to the Operations Excellence Team, the Operations Excellence Manager, the Executive Director and Gonzaba Medical Group. They perform as project support over assigned work and are capable professionals helping the project team realize success. They draw upon prior experience and demonstrate project skills to manage standard project challenges and escalate complex challenges appropriately.
Supervisory Responsibilities: This position has no supervisory responsibilities.
General Requirements: All duties performed will be done accurately and in a timely manner.
- Act as project support on projects assigned; organize all project work in accordance with team standards, learn from leadership and senior project managers on the team, and demonstrate solid project management fundamentals for project coordinators.
- Identify opportunities to improve how the team manages project work and provide recommendations for enhancements as appropriate.
- Conduct excellent stakeholder management through solid use of preferred communication methods and mediums.
- Approach all project work with the customer as primary focus.
- Exercise tact and courtesy when dealing with patients, visitors, providers, vendor representatives and co-workers.
- Participates in educational programs as appropriate or required.
- Be available electronically or physically to your peers and leaders during work hours as agreed upon with your direct supervisor.

Essential Job Responsibilities:
- Assist the team and project customers through all phases of project life cycle – definition, planning, execution, monitoring, and closeout – maintaining appropriate documentation of scope, budget, schedule and any changes therein.
- Facilitate project meetings effectively – secure availability of stakeholders, provide meeting agendas, keep meeting participants on topic, capture action items, distribute notes to stakeholders afterward, and coordinate/follow up on action items to completion.
- Successfully support projects across various business areas within GMG (e.g. IT, Construction, Process Improvement, Vendors, Products, and general Business Operations).
- Meet and exceed metrics or KPIs as identified by direct supervisor pertaining to organizational initiatives and projects.
- Provide support when changes to project scope, schedule or budget occur and communicate those changes as appropriate to the Operations Excellence Manager or Executive Director in a timely manner.
- Support in the creation of project artifacts as needed (e.g. Project Charter, Schedule, Budget, Quality Control Documentation and Change Control Documentation).
- Responsible for updating all project artifacts as assigned and on a regular cadence.
- Collaborate with internal and external stakeholders as needed to accomplish primary project responsibilities.
- Learn project management fundamentals and lessons learned from Senior Project Manager(s), Operational Excellence Manager and Executive Director as appropriate with the goal of transitioning to a Project Manager in the future.
- Participate in team and individual performance reviews.
- Take initiative to accomplish all project management responsibilities.
Education and Training: Minimum high school education or equivalent. Associates of BA in relative field preferred.
Experience: Minimum one year experience with projects as a coordinator or individual contributor to the project outcome(s). Demonstrated awareness of project management practices and software used to track and control projects. Must be able to demonstrate effective communication verbally and in writing. Must be able to demonstrate working in an organized manner and being timely on deliverables, as well as punctual in attendance.
