Purpose

The Temporary Events Program Coordinator (UTemps) supports the Departmental Events Manager to ensure high-quality, engaging experiences for a variety of audiences. This position primarily assists with planning, logistics, and promotion for regularly recurring departmental events throughout the year, with seasonal marketing and design support for larger, strategic events. The ideal candidate will be detail-oriented, creative, and comfortable balancing multiple priorities in a fast-paced environment.

Responsibilities

  • Collaborate with faculty and staff to plan and execute events from start to finish. Coordinate all logistics, including vendor communication, setup/breakdown, attendee support, on-site management, and adherence to event timelines. Reserve event space, arrange catering, manage guest and speaker logistics (including fees and travel), issue invitations, track RSVPs, and oversee event communications.

  • Track analytics, prepare post-event reports, and submit all required requests and documentation in accordance with university policies. Design clean, on-brand graphics in Canva for social media, campus digital screens, and email campaigns; draft light social media content calendars (Instagram and LinkedIn); and write and schedule promotional posts, including live event coverage.

Required Qualifications

Bachelor's degree in communications, marketing, event management, or related field. 1-3 years of event coordination experience, preferably in higher education or nonprofit settings. Strong organizational skills with the ability to manage multiple projects and meet deadlines. Excellent interpersonal and collaborative skills. High attention to detail and quality. Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience creating social media content (Instagram and LinkedIn). Proficiency in Canva. Ability to write clear, engaging promotional copy. Strong brand awareness and ability to maintain a consistent visual and voice identity. Familiarity with Adobe Creative Suite and/or email marketing platforms (e.g., Mailchimp, Cvent, Constant Contact).

Hourly Rate

$25.00

Work Shift

  • Hours per week - 20

  • An exact schedule to be arranged with the supervisor. Some hours are flexible, but must be on-site for events.
