Executive Assistant
We are seeking a detail-oriented Executive Assistant to support our Senior Leadership team. The ideal candidate will be proactive, highly organized, and able to manage multiple priorities. The Executive Assistant will handle a range of administrative duties, manage daily schedules, coordinate travel, prepare documents, and serve as a key point of contact for internal and external stakeholders.
Key Responsibilities:
- Calendar Management: Organize and manage the executive’s schedule, including meetings, appointments, and travel arrangements, ensuring effective time management.
- Communication: Serve as a liaison between the executive and internal/external stakeholders. Screen calls, emails, and requests, responding on behalf of the executive when appropriate.
- Meeting Coordination: Arrange and prepare for meetings, including setting up conference rooms, preparing agendas, compiling materials, and recording minutes as needed.
- Travel Arrangements: Plan and coordinate domestic and international travel, including booking flights, accommodations, and ground transportation.
- Document Preparation: Prepare, edit, and format documents, reports, presentations, and correspondence with accuracy and attention to detail.
- Project Assistance: Assist with special projects and research tasks, ensuring timely completion and keeping the executive informed of project status.
- File and Record Management: Organize and maintain files, records, and other important documentation, both physical and digital.
- Expense Tracking: Manage and submit expense reports and track reimbursements according to company policies.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
- Process Improvement: Identify and implement ways to improve administrative processes for greater efficiency.
Key Qualifications:
- Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
- 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior executives.
- Proficiency with office productivity tools, including Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and calendar management software.
- Excellent written and verbal communication skills, with strong attention to detail.
- Highly organized and able to multitask effectively in a fast-paced environment.
- Discretion and confidentiality in handling sensitive information
- Strong time management and problem-solving skills, with the ability to anticipate needs and stay ahead of tasks.
