Job Summary
Summary: Assists primarily in the preparation and maintenance of Project accounting files and reports, and may be responsible for general office functions by performing the duties described below.
Supervisory Responsibilities: This job has no supervisory responsibilities.
Essential Duties and Responsibilities:
- Creation, ownership and tracking of all Project Cost Books (PCBs) and Project-related works:
- Work with dedicated project managers and/or Operations leads and Finance Director to create PCBs in accordance with project requirements, ensuring to pay attention to detail with regard to all areas of the PCB workbook.
- Work through approvals process flow of PCB to ensure full approvals from Eurest and Client are obtained accurately
- Verifies Subcontractor invoices, Procurement Card receipts and labor transactions for matching to applicable Purchase Orders issued by the client for "Out of Scope" (project) work.
- Maintains tracking spreadsheets to ensure actual project costs do not exceed capped Project Purchase Orders issued by client.
- Liaises with Unit Managers to gather subcontractor quotes and other supporting documentation to request Project Purchase Orders from clients.
- Supports project accrual process with reporting from cleared invoices to ledger comparison. Ensuring costs align to proper cost centers and general ledger codes.
- Coordinates the issue of purchase orders to vendors/suppliers for project, routine work or reactive work, as needed ensuring alignment to budgets and cost centers. Monitors invoicing for timely submission and alignment to purchase order.
- Participates and assists in quarterly spend audits (Dip Checks) for selected percentage of billing to client.
- Prepares, records and submits weekly progress billings to client for project work.
- Monitors accounts payable and receivable to ensure payments are up to date; codes and inputs data (e.g., inventories, cash collections) for forwarding to the corporate office and inclusion in the company's financial reports.
- Support Unit Managers from a fiscal perspective by providing proper accounting controls, training and guidance as it relates to projects.
- Prepares and records asset, liability, revenue, and expenses entries by compiling and analysing account information.
- Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
Preferred qualifications:
- Bachelor's degree in Accounting, Finance, or related field. Two to three (2-3) years general ledger experience required (defined as: journal entries, account reconciliations, prepaids, accruals, fixed assets, GAAP accounting).
- Preferred: CPA/CMA, and experience assisting with tax and audit schedule preparation
- Intermediate knowledge of MS Excel
- Working knowledge of MS Word and MS Outlook
- J.D. Edwards, SAP, or equivalent software
- Accuracy, organizational skills, and the ability to multi-task
- Strong reasoning and analytical skills
- Solid interpersonal skills
- Strong written and verbal communication skills, and the ability to prioritize
- Strongly preferred: Business Objects or equivalent reporting
