LOCATION: This position is onsite, office-based in Atlanta, GA (hybrid model - 3 days remote / 2 days in office - Tuesday & Wednesday) 

 

The Role:

Under the direction of and in collaboration with the Senior Accounting Manager, the Accountant is responsible for supporting the daily operations of compensation and benefits accounting, audit, compliance, and bi-weekly payroll administration and processing. This role involves ensuring the accuracy and efficiency of payroll processing, benefits accounting, grant labor allocations and financial reporting, while ensuring compliance with federal, state, and local regulations. The Accountant will play a key role in systems reconciliations, cost allocations, and process optimization.

Responsibilities

ESSENTIAL FUNCTIONS

Payroll and Benefits Administration:

  • Manage the timely and accurate submission of timesheets. Identify and resolve any discrepancies.
  •  Verify the accuracy of employee information, including banking details, pay group, FLSA classification, and the employee's work State versus home State.
  •  Ensure all backup documentation supporting manual adjustments to employees' earnings and deductions is complete and included in the bi-weekly payroll run.
  •  Ensure garnishments are reviewed, communicated to the employee, properly set up, processed, and tracked in the HRIS system.
  •  Process bi-weekly payroll accurately and on schedule, ensuring the correctness and completeness of employee earnings and deductions.
  •  Maintain accurate reconciliation of bi-weekly pre-check earnings statements with employees’ time and attendance records.
  •  Collaborate closely with the HR team on the annual 401(k) true-up and ensure that employee status changes, pay rate adjustments, earnings, and deductions are accurately reflected in the HRIS.

Payroll Compliance and Reporting

  • Submit timely reports of new hires and employee terminations to the appropriate states. Identify and apply for withholding accounts for state and local income taxes, unemployment insurance, and other state-required employee disability and family benefits. 
  • Stay up-to-date with federal, state, and local payroll tax laws, labor laws, and reporting requirements to ensure compliance.
  •  Ensure payroll processes adhere to federal, state, and local laws and regulations, including tax withholding, labor laws, and garnishments. Address correspondence from state agencies related to wage reports and other related matters.
  •  Prepare and submit payroll tax filings, including quarterly and annual tax returns, and make timely tax payments.
  •  Prepare year-end W-2 forms for all employees and ensure they are distributed in a timely manner.
  •  Prepare payroll-related reports for management, and any other ad-hoc reports as needed.

Accounting & Audits 

  • Prepare accurate and complete journal entries for compensation and benefits activity, utilizing HRIS reports and other relevant supporting documentation.
  •  Manage the federal grant time allocation monthly process, ensuring that personnel cost allocations are posted on time, accurate and reconciled.
  •  Review journal entries for non-Federal grant personnel cost allocations and import them into the accounting system.
  •  Reconcile all payroll accounts in the General Ledger with HRIS Summary Payroll Registers, insurance companies’ invoices, monthly FSA health and dependent care reports, and 501C Agencies Trust deposits. Investigate variances and make necessary adjustments in the accounting system. Coordinate with HR and 501C Agencies Trust to resolve any unexplained variances.
  • Support the Month End Close & Year End Close processes, including personnel cost adjustments, incentive and deferred compensation recurring entries, PTO and payroll accruals and reversal entries.
  •  Prepare and distribute monthly personnel cost reports to management and grant managers.
  •  Assist in the timely completion of audits related to financial statements, single audits, 401K, workers compensation insurance, and federal and state age
