Job Description

We are looking for an Executive Assistant who thrives at the intersection of precision, technology, and strategy. This is not a traditional support role — it’s a chance to operate at the heart of a global, AI-driven transformation in customer service.

You’ll be the force that designs time and focus for senior executives, turning complexity into clarity and friction into flow. You excel at anticipating needs, automating processes, and building smart systems, and you’ll help maximize executive impact while enabling the broader leadership team and Customer Support organization

This is a role for someone who is AI-native, detail-obsessed, and deeply collaborative — someone who is sought out not just as an organizer, but as a trusted advisor who removes risk, amplifies efficiency, and builds relationships that make the organization stronger.

Responsibilities

  • Calendar & time design: Orchestrate complex calendars with intention — prioritizing impact, resolving conflicts, and helping leaders invest time where it matters most.
  • Meeting strategy & preparation: Ensure meetings are purposeful and outcomes-driven by ensuring there are clear agendas, context, and materials are provided in advance. Anticipate follow-ups and eliminate inefficiencies in how meetings are run.
  • Interview & candidate experience: Partner with recruiting to manage interviews seamlessly, ensure candidates are supported throughout, and elevate the overall hiring experience.
  • Travel & logistics: Manage all travel (domestic and international) with precision, anticipating risks and designing itineraries that maximize efficiency and productivity.
  • Expense & budget management: Oversee expenses, reports, and vendor onboarding with accuracy and timeliness; seek opportunities to automate and streamline wherever possible.
  • Onboarding & enablement: Lead onboarding logistics for new hires, vendors, and agencies — ensuring access, equipment, and resources are friction-free from day one.
  • AI-enabled operations: Continuously evaluate and integrate AI tools to remove manual work, improve workflows, analyze data, and enhance decision-making for executives and the team.
  • Special projects: Drive cross-functional projects that require discretion, collaboration, and a bias for execution.

Qualifications

To be successful in this role you have:

  • 5+ years of administrative or operations experience in a high-growth, fast-moving environment (experience in GTM, sales, or customer-facing teams a plus).
  • Proven ability to integrate AI into workflows — whether for automating tasks, analyzing insights, or exploring how AI can reimagine productivity.
  • Exceptional situational awareness: able to anticipate needs, manage risk, and adapt quickly in ambiguous situations.
  • Obsession with detail, clarity, and efficiency — with the discipline to enforce rigor across schedules, agendas, and processes.
  • Strong collaboration and relationship-building skills; recognized as a trusted resource and advisor by peers and leaders alike.
  • Clear, concise communication skills with the ability to influence across teams and levels.
  • High integrity, judgment, and discretion.
  • Technical fluency with modern workplace tools (Office 365, Zoom, Concur, Slack, and AI-powered productivity platforms).
  • Hunger to learn, grow, and help transform how work gets done in a large public company at the center of the AI race.

For positions in this location, we offer a base pay of $104,100 - $151,000, plus equity (when applicable), variable/incentive compensation and benefits. Sales positions generally offer a competitive On Target Earnings (OTE) incentive compensation structure. Please note that the base pay shown is a guideline, and individual total compensation will vary based on factors such as qualifications, skill level, competencies, and work location.
